The Executive Assistant applies a broad-based knowledge of SHN policies and administrative practices and procedures to manage a variable and broad range of administrative activities, manage relationships with both internal and external contacts, support complaints and investigations, and resolve administrative issues. The Executive Assistant supports the Chief of Staff, Medical Advisory Committee and various medical affairs functions.

The Executive Assistant participates in or leads administrative tasks or projects on behalf of the Chief of Staff. In addition, the Executive Assistant provides support to MAC members as appropriate.

Responsibilities:

  • Contribute to creating a safe and healthy environment for patients, staff and others, working in compliance with the hospital code of conduct and the provisions of health and safety policies and legislation. Utilize protective equipment provided and identify and report hazards.
  • Coordinate the Chief of Staff office with scheduling and dissemination of confidential correspondence or documents.
  • Support the Medical Advisory Committee and various subcommittees as required.
  • Initiate development of agendas, presentation materials, meeting deliverables and follow-up items, including the generation of meeting notes and minutes as required.
  • Support physician recruitment, credentialing and onboarding of new physicians.
  • Provide administrative assistance in implementing and managing Administration strategic and operational plans.
  • Participate in and lead activities to complete special projects, assignments and/or reports, either independently or in cooperation with Medical Affairs or other Executive Assistants.
  • Identify, analyze and recommend process changes to streamline and improve administrative workflow.
  • Provide coverage for Medical Affairs or other Executive Assistants.
Requirements:
  • College diploma/certificate or university degree in Administration or equivalent.
  • Minimum 5 years experience in a senior administrative support role in a hospital environment.
  • Exemplary interpersonal, communication, and conflict resolution skills with demonstrated ability to deal with individuals and issues with tact and diplomacy.
  • Project management skills, and superior proficiency in Microsoft Office.
  • Strong work ethic and excellent attendance record.
  • Ability to work independently and multitask effectively.
  • Experience preparing agendas, packages and meeting minutes.
