Executive Assistant

Division: Health and Safety, Natural Gas

Location: Calgary, AB

Position Summary:

We are looking for an Executive Assistant to join us in the exciting work we do in Natural Gas. You will work and report to the Director, Health and Safety, Natural Gas. As a key player, you will provide administrative support, using your multitasking skills to offer high-level support and service to the team. Problem solving and time management skills will be critical in this role, as will your professionalism and discretion.

What you get to do:

  • Proactively co-ordinate day-to-day administrative requirements by managing the daily calendar, incoming mail and prioritizing e-mails, and telephone messages of the Director, Health and Safety, Natural Gas
  • Special event organization including sourcing venues, catering, managing RSVPS
  • Manage IT requests and interface with IT department as needed
  • Coordinate staff moves and new hire set ups
  • Manage Health and Safety Teams Site and SharePoint documents
  • Prioritizes workflow as needed, draft correspondence, coordinate weekly & monthly meetings and materials for leadership team
  • Coordinate all meeting requirements including scheduling, collection and preparation of background material, administration of reports, coordinating minutes and overseeing action tracking
  • Create PowerPoint presentations as required
  • Arrange all aspects of travel requirements
  • Manage, refer and escalate inquiries from internal and external parties by exhibiting a strong understanding of the department and company\'s priorities
  • Anticipate needs and make confident decisions to contribute to an organized work environment
  • Establish and maintain positive, productive working relationships with internal and external parties. Manage these relationships in a manner that facilitates a positive corporate image, builds morale, supports co-operation
  • Review time off requests and approvals
  • Lead administrative group meetings and initiatives
  • Provide backup support to other administrative professionals
  • Submit Director expenses
  • Review Manager expenses in Oracle
  • Assist with monitoring monthly budget (working closely with finance business plan) and supports team managers with same.
  • Review invoice coding accuracy, hours, etc.
  • Create PO (Purchase Order) and Requisitions as may be required
Qualifications:
  • High School Diploma
  • Post-secondary education in business administration would be considered an asset
  • Exposure to, or education in, Health and Safety would be considered an asset
  • Minimum of 10 years of experience in an administrative role
  • Class 5 driver\'s license and the ability to provide a Commercial Driver\'s abstract that meets ATCO requirements is required
  • Excellent interpersonal and organizational skills, as you will interact with a variety of individuals throughout the company
  • Strong written and verbal communication
  • Advanced skills with Microsoft Office
  • SharePoint proficiency is an asset
  • Demonstrated ability to confidently work independently, exercise good judgement, and maintain confidentiality at all times
  • Ability to periodically travel within Canada for business as required
