Position Summary:
The Executive Assistant / Bookkeeper provides administrative and bookkeeping support to the President and Corporate Executives.
Key Responsibilities:
Bookkeeping
Maintain financial statements.
Reconcile accounts.
Accounts payable & accounts receivable.
Prepare cheques.
Prepare other statistical, financial, and accounting reports.
Other office and administration duties.
Communicate professionally in all verbal and written communication.
Executive Assistant
Organizing meetings involving multiple senior executives.
Assisting with the preparation of business presentations including text, overheads and electronic presentations.
Planning, organizing and coordinating functions and special events.
Taking meeting minutes.
Managing facility use agreements, room booking, equipment bookings and office supplies.
Scheduling travel arrangements for management and staff.
Reviewing and summarizing miscellaneous reports and documents; preparing background documents and outgoing mail as necessary.
Interact with external clients.
Assist with Sales Department.
Will comply with Health, Safety, and Environmental policies and procedures.
Other duties as assigned.
Qualifications:
Bachelor's degree or equivalent combination of education and experience.
A bookkeeping certificate or diploma.
5+ years' experience supporting at the executive level. High proficiency in the use of computers for word processing, database work, spreadsheets, email, research, and presentations.
Demonstrated success in a dynamic, deadline-oriented and ever-evolving environment.
Proven ability to effectively prioritize workflow.
Ability to exercise good judgement, show initiative and be proactive.
Organized and able to multitask.
Ability to maintain confidentiality and act in a professional manner.
Excellent verbal & written communication skills and interpersonal skills.
Advanced MS Office skills including Word, Excel and PowerPoint.
