ATB Capital Markets is looking for an Executive Assistant (EA) to support the President and lead our team of Business Coordinators. The primary focus of the Executive Assistant is to provide administrative support to the President of ATB Capital Markets. This includes coordinating and supporting a wide range of executive activities with limited direction, ensuring the team operates in an effective and well-organized manner. The successful candidate must have experience in a fast paced, dynamic environment where a high degree of professionalism, confidentiality, attention to detail and flexibility are required.

The level of support requires a strong understanding of Capital Markets, along with the business knowledge to communicate and work effectively within ATB Capital Markets Sales, Trading and Research groups. The ability to build relationships is a critical requirement of this role. This role will require interactions with other members of the ATB team as you help with travel, expenses, logistics, data gathering and event planning.

You will find success based on your ability to:
  • Assist the Leader in the execution of his responsibilities through assessment of information, and from escalation of urgent matters requiring immediate responses where necessary.
  • Act as a liaison on behalf of the Leader with other members of ATB Capital Markets.
  • Assist in the coordination of Institutional and Retail client activities.
  • Act as a team lead by providing mentorship and guidance to our Business Coordinators in Sales, Trading & Research, to ensure alignment on all goals and objectives.
  • Synthesize and present data from different data collection systems such as Salesforce, Blue Matrix, NetRep, NBIN etc. to monitor department's productivity.
  • Help with the planning of conferences and other marketing events of ATB Capital Markets.
  • Help with travel arrangements of the Leader.
  • Coordinate on-site and off-site meetings and other events.
  • Completion/validation expense account transactions in the Concur system ensuring appropriate documentation and coding are attached and expenses incurred are within ATB's Travel and Expense Card Policies.
  • Conserve the Leader's time by researching and routing correspondence, drafting responses, collecting and analyzing information, and preparing reports to address requests and queries not requiring the leader's attention.
  • Use an understanding of the goals, needs and priorities of the leader, and the business, to move initiatives forward and make sound decisions about priorities of requests.
  • Maintain a system for the leader to ensure all operational and project activities are completed successfully.
  • Support the effective management of the Leader's time; manage the calendar of the Leader to schedule/accommodate external and internal meetings, make travel arrangements as needed.
  • Contribute to productivity by reducing or eliminating non-essential work and distractions by taking action where appropriate.
  • Various sundry duties.
Requirements

As the ideal candidate you possess:
  • Experience of working in a broker-dealer firm within the Research, Sales or Trading departments.
  • Must be eligible to be licensed or licensed to process accounts.
  • Technically savvy on computers and a quick learner on new systems.
  • Proven ability in assembling, compiling, analyzing and summarizing data and preparing reports.
  • Expert knowledge of Microsoft Office and Google Suite to produce high quality reports, presentations or other documents. Exposure to data visualization tools is an asset.
  • Demonstrated ability to learn and effectively use new software.
  • Excellent interpersonal skills: ability to work collaboratively with other stakeholders, including all levels of management, internal and external contacts; and ability to develop and maintain effective relationships.
  • Experience in Event planning and the MeetMax platform is an asset.
  • Mature, self starter with demonstrated independent thinking, ability to be innovative, and decision-making skills.
  • Must be assertive and able to work independently to anticipate and address issues in the executive's absence.
  • Excellent written, verbal and interpersonal communication skills and the ability to work under pressure and meet critical deadlines.
  • Excellent proofreading skills.
  • Exceptional organizational skills and ability to multitask.
  • Maintain strict confidentiality at all times.
  • Strong customer-service orientation; a flexible and willing 'can do' attitude.
  • Ability to be diplomatic, tactful and use discretion in all situations with both internal and external parties, with a high degree of professionalism.
