JOB SUMMARY:



The Executive Assistant is responsible for the successful overall management and operations of the FSVM according to the strategic direction and policies set by the Board of Directors.

Reports to the Board of Directors.

INTERNAL RELATIONSHIPS:

Board of Directors, Volunteers, Partners (strategic and financial supporters)

EXTERNAL RELATIONSHIPS

: Municipal / Regional governments

PRIORITY FUNCTIONS

:

Support the Board of Directors through open and frequent communication Responsible for the day-to-day operations of the organization in consultation with appropriate members of the Board Ensure the organization complies with all provincial and federal legal requirements Assist the Board of Directors with the implementation of the vision and strategic plan Monitor and manage FSVM One Drive folders and files Update the website, post on social media and assist with FSVM communication strategy Prepare draft Agendas for review of Co-Presidents, distribute Agenda and related documents one week prior to the Board meetings, attend Board Meetings and transcribe Minutes of the Meeting Assist with planning and execution of Special Events Assist with the planning and monitoring of the Seniors program Identify, assess and inform the Board of Directors of any internal or external issues that affect the organization Provide a monthly report on the operations of the organization for Board meetings

SKILLS AND ABILITIES

:

Experience as an executive assistant - ability to plan, develop, implement, and monitor programs Strong interpersonal skills Ability to think strategically, set priorities and plans to achieve goals. Ability to manage confidential information and situations in a professional manner Demonstrate sound judgement and excellent communication skills (written, verbal, bilingual) Analytical skills related to budgeting and financial management Ability to work cooperatively Knowledge of Word, Excel, PowerPoint and Canva Bilingual

TERMS:



Part-time

- 2 days per week Salary commensurate with experience Bilingual

Administrations municipales et regionales

FONCTIONS PRIORITAIRES :



Soutenir le conseil d'administration par une communication ouverte et frequente Etre responsable des operations quotidiennes de l'organisation en consultation avec les membres appropries du conseil d'administration Veiller a ce que l'organisation se conforme a toutes les exigences legales provinciales et federales Aider le conseil d'administration a mettre en oeuvre la vision et le plan strategique Surveiller et gerer les dossiers et fichiers One Drive de la FSVM Mettre a jour le site web, publier sur les reseaux sociaux et aider a la strategie de communication de la FSVM Preparer les projets d'ordre du jour pour examen par les copresidents, distribuer l'ordre du jour et les documents connexes une semaine avant les reunions du conseil d'administration, assister aux reunions du conseil d'administration et transcrire les proces-verbaux des reunions Aider a la planification et a l'execution d'evenements speciaux Aider a la planification et au suivi du programme pour les personnes agees Identifier, evaluer et informer le conseil d'administration de tout probleme interne ou externe Fournir un rapport mensuel sur les operations de l'organisation pour les CA

COMPETENCES ET APTITUDES:



Experience en tant qu'assistant.e de direction : capacite a planifier, developper, mettre en oeuvre et superviser des programmes. Excellentes aptitudes relationnelles. Capacite a reflechir de maniere strategique, a etablir des priorites et a elaborer des plans pour atteindre les objectifs. Capacite a gerer des informations et des situations confidentielles de maniere professionnelle. Faire preuve d'un bon jugement et d'excellentes competences en communication (ecrite, verbale, bilingue). Competences analytiques liees a la budgetisation et a la gestion financiere. Capacite a travailler en equipe. Connaissance de Word, Excel, PowerPoint et Canva

CONDITIONS:



Temps partiel -- 2 jours par semaine Salaire en fonction de l'experience Bilingue
Job Type: Part-time

Pay: $45.00-$55.00 per hour

Expected hours: 15 per week

Work Location: Hybrid remote in Ayer's Cliff, QC
