Executive Assistant (7 Month Temporary)

Job Description

Assist the Vice-President or Executive Director in the administration of the day-to-day activities and special projects of the office, the co-ordination of divisional responsibilities and by providing research and background information necessary to facilitate executive action and decision making.


This role will support the Vice President and CISO along with 2 Directors and will primarily assist with scheduling, calendaring, meeting preparation and email review for the VP. This role is also responsible for producing monthly budget reports and the Monthly IT Security Operational report. The successful candidate will also be expected to prepare travel authorization requests and pcard expense reports.

Major Responsibilities:





Act as a central point of contact on behalf of the Vice-President/Executive Director in dealing with a range of issues/complaints and requests for information from internal and external clients and vendors in person, by telephone or written correspondence. This includes:

researching/investigating the issue determining possible solutions or the best approach to resolving issues preparing written comprehensive summary reports and executive correspondence for the Vice President's/Executive Director's signature to respond to external client's/organization's inquiries presenting details with recommendations to the Vice President/Executive Director and/or advising the business areas on suggested resolution
Review policy proposals, research reports and operational data to identify issues of importance and provide relevant commentary and advice to the Vice President/Executive Director; including revising policy documents, ensuring compliance with standards, analyzing issues, anticipating problems, gathering/seeking information and identifying and developing available options. Review, edit, consolidate and format reports, presentations and memos received from division management and staff for content and style before submission to internal and external clients. Co-ordinate project work on matters requiring investigation, research and analysis including identifying resources, allocation of work based on priorities and established goals and objectives for the completion of the project, consolidating the research findings and preparing final submissions with appropriate recommendations for the Vice President's/Executive Director's review. Participate as a member of senior leader's management team providing information, advice and guidance to program heads on divisional matters; identifying, prioritizing and analyzing issues and complaints and determining when the subject should be raised with the Vice President/Executive Director or other divisional Vice Presidents. Co-ordinate reporting requirements (i.e. Monthly/Quarterly Cost and Budget Variance and Forecast Reports) with management team and Business Assistants. Applying basic understanding of financial concepts and business acumen, consolidate and ensure comprehensive information and analysis is delivered on a timely basis. Advise of possible overspends and offer solutions to control expenses. Create, design and maintain operating reports as required ensuring comprehensive information and analysis along with timely delivery. Ensure accuracy and integrity of data, information through analysis, research and collaboration with Divisional staff.

Education: Undergraduate Degree

Experience: Minimum 5 years of relevant experience
