Your Opportunity:

As a key support to the Red Deer Regional Hospital Centre (RDRHC) Senior Operating Officer (SOO) portfolio, the Executive Administrative Coordinator reports directly to the SOO providing high level, comprehensive administrative support to the portfolio. This includes preparation of business documents and reports, as well as managing schedules, appointments, and meeting logistics. The incumbent acts as a liaison between key stakeholders, and the SOO office, and as such must provide a high standard of interpersonal communication and demonstrate confidentiality, flexibility, and initiative. The incumbent uses independent judgement regarding work expectations to meet objectives and problem solve. The incumbent is required to research and prepare reports and background materials, as well as monitor projects, and initiatives as directed. To be effective, it is critical that the incumbent exercise critical thinking, problem solving and formal and informal leadership skills. Being consistently mindful of optics, the position requires a full understanding of the portfolio and frequently represents the portfolio as the first point of contact. Attention to detail and high level of proficiency with computer programs is essential. This position is required to maintain a high level of diplomacy and confidentiality in all interactions. A strong ability to initiate and maintain effective relationships and internal and external stakeholders is requisite. This position acts as a resource to other administrative support staff within the portfolio or office by providing advice and assistance on AHS and RDRHC process issues and on writing correspondence for the Executive.

Description:

This position reports directly to the Red Deer Regional Hospital Centre (RDRHC) Senior Operating Officer (SOO). This advanced role requires the individual to perform at a high level, with limited supervision/guidance and is accountable to perform a wide variety of complex and confidential administrative duties. This position is a formal resource for consultation, problem solving, and clarification of AHS business requirements/processes and SOO deliverables for Directors, Managers, and administrative support staff within the portfolio. In addition, this role provides guidance and clarification on AHS business requirements/processes (e.g., EVM, HR requirements such as org charts) to ensure SOO deliverables are met with required timeframes. The role acts as a resource to other stakeholders engaged with the Red Deer Regional Hospital SOO for advice, assistance, and action items. Detailed understanding of the portfolio with expert knowledge of the complexities of Red Deer Regional Hospital and Central Zone working relationships within the portfolio and across the zone is critical. Work assignments for this administrative position are complex in nature where considered independent judgement, tact, creativity, and initiative are required. Consistently the position must exercise discipline with respect to the confidentiality of information. A strong ability to initiate and maintain effective relationships with internal and external stakeholders is required.

Required Qualifications:

Minimum of post-secondary education in office administration or associated area. Minimum of 5 years of progressively responsible senior experience within a large organization, preferably in a healthcare environment. Demonstrated advanced knowledge of computer technology and software applications including, but not limited to: Microsoft Office Professional Package (Word, Exchange, Excel, Access, PowerPoint, Visio, MS Project,) & e-People/ESP. Recruitment Management System (RMS). Working knowledge of AHS systems and processes, department and/or divisional policies and procedures. Ability to work collaboratively with junior and senior team members within the hospital, Zone and within the clinical and corporate portfolios across AHS. Must be able to exercise judgment, professionalism, diplomacy, and discretion when dealing with highly sensitive and confidential issues. Excellent communicator (written & oral) with strong organizational skills, demonstrated time management with commitment to providing quality services. Self-directed to take on additional tasks as required to benefit the effective operation of the Office of the Red Deer Regional Hospital Senior Operating Officer.

Ability to have flexibility within their schedule to adapt to the Senior Operating Office demands to meet business requirements.
