We're looking for a dependable, detail-oriented Executive Administrative Assistant to support our team and ensure our operations run efficiently.
About the Role
In this key administrative role, you'll be instrumental in maintaining daily office workflows, supporting client services, and enhancing the overall client experience. Working closely with our financial advisors and support staff, you'll ensure that clients receive timely, accurate, and professional service.
Key Responsibilities
Welcome and assist clients in person, over the phone, and via email with courtesy and professionalism
Preparing required paperwork for client meetings in both digital and paper format
Manage calendars, book client meetings, and organize appointments
Draft, proofread, and edit letters, newsletters, reports, and client-facing documents
Keep digital filing systems and client records accurate and up to date
Assist in preparing and tracking compliance documents
Support a growing social media presence -- planning content, writing engaging posts, and tracking results.
Perform general administrative duties such as handling mail, scanning, and managing office supplies when required
Qualifications
Minimum 2 years of administrative experience, preferably in financial services, legal, or other professional settings
Outstanding organizational skills with a strong attention to detail
Excellent verbal and written communication abilities
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) is required. Knowledge of CRM software is a plus
Proven ability to learn and adapt to new software efficiently
Discretion and professionalism when handling sensitive information
Practical experience with business social media creation, scheduling and posting
