Responsibilities:
- Provide high-level administrative support to executives
- Manage calendars, schedule meetings, and coordinate travel arrangements
- Prepare and edit correspondence, communications, presentations, and other documents
- Conduct research, compile data, and prepare reports as needed
- Handle confidential information with discretion and maintain strict confidentiality
- Assist with data entry using QuickBooks
- Answer and direct phone calls using proper phone etiquette
- Maintain electronic filing systems
- Manage tasks such as picking up mail, bank deposits, and special deliveries within the greater Edmonton area. Some travel in the Edmonton area is required
- Follow up on overdue tasks with staff, maintaining project timelines and workflow efficiency
Requirements:
- Proven experience as an executive administrative assistant or in a similar role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks
- Strong typing skills and knowledge of DocuSign or similar electronic signature software
- Familiarity with phone systems and ability to handle multiple phone lines
- Excellent administrative and organizational skills with attention to detail
- Strong written and verbal communication skills
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
- Exceptional customer service skills and professional phone etiquette
- Ability to work independently with minimal supervision
- Proven ability to handle confidential information with integrity
- Strong proofreading skills to ensure accuracy in documents
