DescriptionThe Student Accessibility Services Team in Student and Enrolment Services is currently seeking a Full-time Regular Exam Administrator.Student Accessibility Services (SAS) works with the campus community to create an accessible, equitable and supportive learning environment that enhances each student\'s academic and personal development. The Exam Administrator to will report to the Manager, Accessible Testing and will support the daily operations of the SAS Exam Centre. The SAS Exam Centre ensures that students with disabilities are provided appropriate accommodation for writing course-based exams and tests. The Exam Administrator must be familiar with duty to accommodate legislation and the university\'s Accommodation Policy and Procedures for students with disabilities.Working collaboratively with minimal supervision in a team environment, the Exam Administrator must exercise independence, tact and diplomacy while dealing with students, instructors and support staff. Strong communication skills and sound judgment must be demonstrated in person, on the telephone and via email. The Exam Centre works with technology to meet the needs of students requiring accommodation, and staff must be comfortable in working with a variety of technologies and formats. This position works from 1:00pm to 9:00pm with variation based on exam centre needs and is 100% in person and not available for remote work. It also may require overtime during peak periods (ie. mid-term and final exam periods) during the Fall and Winter semesters.Summary of Key Responsibilities (job functions include but are not limited to):

  • Respond courteously and accurately to student and faculty inquiries about testing procedures and accommodated exams.
  • Understand required accommodations for each exam and ensures students receive the appropriate accommodations.
  • Responsible for receiving, booking , processing and scheduling individual student exams using the Clockwork database.
  • Communicate with course instructors regarding upcoming exams, testing requirements and resources.
  • Invigilate exams to students writing at the Exam Centre and other locations.
  • Use Clockwork to determine if accommodation letters were released and email notification sent to instructors.
  • Works closely with Supervisor to track statistical data related to the provision of accommodated exams.
  • When Supervisor is unavailable, resolve exam discrepancies and proctoring concerns in a fair and equitable manner, reporting any serious discrepancies to Manager of Student Accessibility Services.
  • Provides accurate and timely information with a strong understanding of the high impact of providing erroneous information.
  • Follow established University and Exam Centre procedures to respond to immediate health issues, physical , emotional or other student concerns occurring at the Exam Centre.
  • Maintain a high level of confidentiality with sensitive student information.
  • Prepare exams and other test materials in alternate formats (ie. electronic format, large print) or using testing tools (ie. D2L, Webwork, ExamSoft, Impero).
  • Handle front-line concerns with tact and diplomacy; document unresolved student and instructor concerns and report them to the Manager, Accessible Testing in a timely and respectful manner.
  • Update and generate reports such as accommodation queries for instructors.
  • Returns completed exams to appropriate Faculties in a professional and secure manner (note this can require walking across campus with up to 10lbs of examination papers).
  • As a member of the Exam Centre team, contribute to the development of effective procedures related to services of the Exam Centre.
Qualifications / Requirements:
  • Undergraduate degree preferred or an equivalent combination of post-secondary education and experience.
  • Excellent organizational skills with the ability to manage competing demands in a high stress, rapid-paced environment.
  • Thorough knowledge of Student Accessibility Services, University policy and procedure related to students with disabilities, and academic integrity policy is required.
  • Working understanding of Learning Managements Systems, specifically quiz features is required.
  • Familiarity with adaptive technology include text-to-speech, speech-to-text, and digital magnification is required.
  • Experience working with databases, preferably disability management or exam management tools.
  • Strong understanding of Microsoft Office Suite (Excel, Access and Word).
  • Strong verbal, written and oral communication skills.
  • Ability to update and maintain a complex examination schedule with up to 300 exams written at one time.
  • Strong understanding of and ability to maintain the integrity and security of exams.
  • Strong interpersonal and communication skills in handling a range of situations, which may include complex, sensitive and confidential issues.
  • Team player with ability to establish positive relationships with staff and students.
  • High degree of accuracy and attention to detail.
  • Experience working with post-secondary students with disabilities an asset.
