Position Summary



Hollyburn Country Club is seeking an enthusiastic and dynamic individual to lead our Events Department. As the Event Manager, you will be responsible for orchestrating a wide range of memorable occasions, from large-scale events like Mother's Day and Christmas celebrations to monthly themed parties and exclusive member-sponsored catering events.

Position Responsibilities



Event Planning & Execution - 60%

Oversee the planning and execution of a variety of events, including conferences, seminars, corporate dinners, and training sessions for internal senior partners' teams. Manage high-profile, complex events such as VIP gatherings and large-scale celebrations, serving as the front-facing representative for Hollyburn's Events department. Lead the Events department in managing on-site event delivery, ensuring flawless execution and on-brand experiences for all attendees. Create and distribute accurate Banquet Event Orders (BEOs) and floor plans, ensuring client needs are clearly communicated to all relevant teams. Collaborate closely with the culinary team to develop creative, innovative catering menus that align with Hollyburn's brand and client preferences. Recruit, train, and develop both the event service and leadership teams, ensuring high-quality service and execution standards. Conduct post-event reviews to assess the success of events, identifying areas for improvement, and gathering client feedback to refine future events. Meet with clients prior to events to confirm final attendance, meal schedules, and last-minute requirements, communicating changes promptly to departments. Ensure timely follow-up with clients post-event to maintain relationships and foster opportunities for repeat business.
Client & Stakeholder Engagement - 15%

Serve as the primary point of contact for clients, ensuring a courteous, efficient, and responsive experience throughout all phases of event planning and execution. Build and maintain strong working relationships with internal stakeholders and clients, facilitating seamless collaboration and communication. Maximize revenue opportunities by working with Director, Sales & Marketing to upsell meeting room rentals, food, and beverage options. Use Customer Relationship Management (CRM) techniques to develop and nurture relationships with both current and potential clients, ensuring high levels of satisfaction and repeat business.
Vendor & Supplier Management - 10%

Manage external vendors and suppliers for events, ensuring contracts, pricing, and services align with Hollyburn's standards and budget. Negotiate and maintain strong relationships with key vendors, including AV companies, florists, decorators, and other suppliers.
Event Marketing & Promotion - 10%

Collaborate with the marketing team to promote key events, ensuring effective communication through Hollyburn's newsletter, website, and social media channels. Develop and implement promotional strategies to increase event participation, especially for high-profile events, fundraisers, and seasonal celebrations.
Administration - 5%

Maintain detailed and accurate event records, including financial documentation, client communications, and event logistics, ensuring easy reference for future planning. Oversee event contracts and ensure financial agreements, schedules, and commitments are meticulously tracked and delivered to the highest standard.

Skills & Qualifications



Postsecondary degree or equivalent in hospitality, Event Management, Marketing, or Business Administration. 3+ years in sales, preferably within hotel, restaurant, or catering operations 2+ years in restaurant leadership and live event planning. Proficient in Microsoft Office (Outlook, Word, Excel); knowledge of Sevenrooms and Tripleseat is a plus. Strong budget management skills. Excellent verbal and written communication skills, fostering positive relationships with clients and stakeholders. Outgoing, people-oriented personality with a strong customer service focus. Exceptional attention to detail, time management, and organizational abilities. Innovative problem-solver, capable of prioritizing tasks under pressure to meet deadlines. Experience in project management and understanding of human resources practices, including recruiting and training teams. Positive attitude and adaptability in a fast-paced environment. Candidates must obtain a Police Information Check with a vulnerable sector search as part of the onboarding process.

Working Conditions:



This position operates 100% on-site Regular evenings and weekend work will be required during peak periods or special events Own transportation is an asset as public transportation is not frequent to/from the Club
