Position Summary



This position helps bring our mission to life through the planning and execution of engaging events and donor experiences that celebrate the power of public libraries and the people who support them. The Event Coordinator will assist in the end-to-end management of events--from donor stewardship gatherings and public celebrations to fundraising galas and community activations. Key Responsibilities



Event Planning & Execution

Support in delivering up to 20 annual stewardship, cultivation, and community events (virtual and in-person), including the Foundation's signature fundraising gala, Biblio Bash*.
Support in developing event concepts, budgets, and timelines. Contribute to the coordination of event logistics and timelines, from setup through teardown to ensure exceptional donor and guest experiences. Solicit and negotiate vendor quotes in partnership with the Senior Manager, Events, reconcile expenses, and process invoices promptly. Provide support in managing event technology tools and systems to improve planning, execution and donor experience. Maintain internal annual event calendar that captures event planning across all revenue streams.

Stakeholder Collaboration & Coordination

Partner with Foundation colleagues and Library teams (programming, facilities, IT, accounting, and venue rentals) to ensure seamless coordination and alignment with organizational goals. Collaborate with the Senior Manager, Events to secure and coordinate speakers, authors, and thought leaders for Foundation events. Support the work of event committees and volunteers through meeting coordination, preparation of materials, and follow-up actions. Stay informed on community happenings, charitable galas, and civic observances to inform scheduling and outreach.

Stewardship & Relationship Building

Embed a stewardship and cultivation mindset into all events, ensuring thoughtful engagement and recognition of donors, volunteers, and partners. Support in the planning and execution of donor engagement initiatives, including small-scale receptions, tours, and recognition activities that build connection to the Foundation's mission. Develop and implement gifting approaches and personalized follow-ups to acknowledge contributions and strengthen donor relationships.

Administration & Evaluation

Draft agendas, minutes, contact reports, thank-you correspondence, and creative briefs as needed to support event operations. Contribute to post-event evaluation by preparing concise summaries, documenting key learnings, and informing future event strategy. Monitor Toronto Public Library's public programs, including Appel Talks and Salon Series, to align Foundation events with broader engagement activities and enhance donor connection.

Qualifications & Competencies



Education & Experience



Minimum 2-3 years of experience supporting the planning and execution of events, with proven ability to manage logistics, stakeholders, and volunteers in alignment with organizational goals. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with email marketing platforms such as Campaign Monitor or Mailchimp considered an asset. Experience with graphic design tools (e.g., Canva, Adobe Illustrator) and an eye for visual storytelling an asset. Photography skills or a demonstrated interest in capturing events and moments of impact an asset.

Skills & Abilities



Strong organizational and administrative skills, with exceptional accuracy and attention to detail. Excellent interpersonal and relationship-building skills, with experience working collaboratively across internal teams and with external partners. Superior verbal and written communication abilities, including experience preparing clear, engaging, and mission-aligned communications.
