EVENTS & CLIENT EXPERIENCE SPECIALIST

Full-Time / Remote / Toronto

Overview

RFL Wealth is seeking a highly organized, proactive, and detail-driven Events & Client Experience Specialist to support our rapidly growing team. This role blends high-end event execution, concierge level client experience, and operational coordination, ensuring every touchpoint reflects RFL's commitment to premium service.

The ideal candidate loves logistics, hospitality, communication, and creating memorable client experiences. They will work closely with the Head of Growth and COO to deliver world-class events and client touchpoint programs.

Core Responsibilities

1. Event Planning and Execution (Primary Focus)

Lead planning, logistics, and day-of execution for all RFL Wealth events; from national conferences to dinner seminars and virtual sessions.

In-Person Events

Source venues, negotiate vendor contracts and manage budgets Build run sheets, timelines, and detailed workback schedules Oversee decor, signage, printing shipping and booth setup Managing catering, A/V, photographers, videography, and full-day operations Coordinate staffing, role assignments, and on-site flow Oversee post-event close-out, lead handoff, and internal debriefs
Virtual Events

Setup, scheduling, tech checks, and rehearsals Manage registration, attendance tracking, and attendee communication Coordinate follow-up touchpoints alongside Growth & Sales
2. Client Experience (Secondary Focus - Concierge Level)

Own the full lifecycle of client touchpoints, ensuring a seamless, thoughtful experience from onboarding through ongoing relationships.

Client Touchpoints Management

Prepare, assemble, and mail welcome and onboarding packages Mail out RFL Financial Life Plans to clients Send birthday cards for all RFL clients monthly Manage milestone gifting and ongoing client appreciation programs Maintain a comprehensive client experience calendar
Referral & Ambassador Program Management

Track all referral submissions and ambassador engagement Reconcile referral activity monthly Coordinate sending referral thank-you gifts
Inventory, Shipping & Logistics

Maintain full inventory of branded materialism swag, event assets, packaging Create and maintain an inventory tracking system Oversee all shipping, mailing and courier logistics Anticipate supply needs and reorder proactively
3. Internal Coordination & Operational Support

Support Growth, Sales, and Operations teams with event-related coordination Manage timelines, task tracking, and deliverables for event and client experience programs Coordinate between internal teams and external vendors for smooth execution Ensure that all materials, assets, and supplies are prepared and delivered on time.
Qualifications

Must-Have



Bachelor's degree in

Event Management, Hospitality, Operations, Communications, Business,

or a related field

or equivalent practical experience.

3-5 years in high-end events, hospitality, client experience, or operations Highly organized with strong systems thinking Excellent communication and professional presence Proven ability to manage multiple projects simultaneously Experience with event logistics (in-person & virtual) Strong vendor management experience Proficiency with CRM, spreadsheets, calendar management, and project management tools Experience managing shipping, inventory and purchasing High degree of independence and ownership Willingness to travel for events within Canada (approx. 25%)

Compensation & Structure



Salary: $55,000 - 65,000 CAD, annually.

Employment status: Full-time employee. Fully remote.

Hours of work:



Standard workweek of 40 hours, with availability to travel for events within Canada (approx. 25%) Overtime, where applicable, will be compensated in accordance with the Ontario Employment Standards Act (ESA).
This role is an incremental addition to the existing team, with high ownership and visibility, created to support the company's growth objectives.
