About the Role
==================


Career Services events are vital engagement activities that connect students, alumni, faculty, and staff with community and industry partners. The Events and Communication Assistant will be instrumental in assisting with our communication strategies and event logistics. This role requires an individual who is adept at managing social media content and email communications while supporting the execution of successful events. The ideal candidate will possess a passion for effective communication, a meticulous eye for detail, and the ability to excel in a highly fast-paced environment.





In this role, the Events and Communication Assistant will be central to supporting the creation and execution of highly impactful and meaningful events for all stakeholders, ensuring a positive guest experience. They will support all logistical aspects of in-person and virtual events, take a proactive role during events, and assist with pre- and post-event activities. The ideal candidate will demonstrate strong event planning and project management skills and an enthusiasm for delivering high-quality events and professional communication.


••Work Environment:•• This position is based in our office with the potential for remote work. The role may require occasional travel for event-related activities.


This position is a full-time role working 35 hours per week.



Responsibilities
--------------------


Event Support


• Support coordination and execution of events (in-person, virtual, and hybrid) in accordance with department standards, user guides, and policies.
• Administer event communications: invites, registrations, confirmations, reminders.
• Update event registrations in appropriate spreadsheets; follow up to ensure maximum registrations and participation.
• Support the team during event days that includes but not limited to troubleshooting, problem solving, tech support, managing volunteer staffing, client relations, catering, etc.
• Execute all post-event tasks including but not limited to tear down, post-event evaluations, final reports..
• Make recommendations for continued improvement for positive, engaging, impactful guest experience.
• Create events in our system and update all relevant calendars and displays.

Communication Support

• Capture social media content at various events, including photos, videos, and testimonials.
• Support recruitment and engagement portfolio through crafting graphics and reels tailored for LinkedIn and Instagram platforms.
• Support monthly engagement analysis reports focusing on performance comparisons and future recommendations.
• Continuously collect feedback from students, employers, and other stakeholders through surveys, focus groups, and interviews to assess the effectiveness of departmental programs and services and identify areas for improvement.
• Support coordinators in gathering compelling testimonial narratives highlighting successful collaborations, transformative experiences, and impactful outcomes achieved by employers and students.
• Support written content creation in alignment with the department's communication plans and engagement targets.
• Create visually captivating graphics for maximizing audience engagement, utilizing creativity and design proficiency to transform content into impactful visual assets.

Qualifications
------------------


• Event planning/project management/customer service experience
• Strong written and verbal communication skills
• Intermediate to advanced knowledge of Microsoft/Google/Adobe/Canva/Visio tools
• Able to thrive in a fast-paced high pressure environment
• Initiative to anticipate and plan ahead while working both independently and in close collaboration with the team
• Ability to meet deadlines, stay organized and not miss details
• Strong professional writing and communication skills
• Ability to analyze data and produce reports and recommendations
• Strong problem solving and troubleshooting skills
• Fast learner and thinker who thrives under time and resource constraints
• Experience and strong understanding of event logistics

Salary: $45,992 - $58,244 per annum
