SUMMARY:

The Event Support Specialist is a temporary position responsible for assisting the Language Curriculum Training Services project manager in the planning and execution of a major language training sector event. This two-day, hybrid event will take place during the week of February 23, 2026 and the target attendance is 200. In-person attendees will attend the event at a local hotel, while virtual attendees will attend via Pheedloop. All event deliverables/materials will be available in both of Canada's official languages.This role will work remotely but must also work onsite at the event venue. The successful candidate must reside in Ontario.



DUTIES & RESPONSIBILITIES:

Provide support in the following ways:



Plan, coordinate and take minutes during Advisory Committee meetings (virtual meetings comprising cross-Canada participants/different time zones, pre-event) Liaise with Achev Marketing Department re: event branding logo, document templates, signage, etc.

Assist with administering the event on Pheedloop:



Set up registration on Pheedloop Monitor event registrations and compile list Liaise with and answer questions from event attendees as needed Update event information on Pheedloop as needed Enter French translations manually into Pheedloop

Organize and coordinate approximately eight presenters, including for dry runs. Tasks include:



Assist with contracting speakers Obtain biography, session title and session description for each presenter Assist project manager with scheduling plenary and breakout speakers Ensure presenter slide decks/materials are submitted by deadline - end of January 2026 Review presentation materials against any determined requirements as needed

Provide on-the-ground assistance on both days of the event:



Welcome attendees to the event Check attendees off registration list and provide nametag lanyards and conference materials Assist attendees with wayfinding Provide navigational/roaming/tech cables support for presenters / Environmental comfort liaison x 3 rooms

Provide support for other administrative duties as needed.



QUALIFICATIONS:



Resident of Ontario Post-secondary degree in relevant discipline 3 years of meeting and administrative support experience Business writing skills (for e-mail correspondence and for meetings - agenda and minutes) Proficient in MS Office suite - Word, Excel and PowerPoint Proficient in virtual meeting technology (MS Teams, Zoom) Organizational skills Customer service skills Communication skills Interpersonal skills Collaboration skills Detail-orientation Time management skills All-day availability on Feb. 24th and 25th, 2026

Prior experience with in-person and virtual events Familiarity with Pheedloop conferencing platform Language sector knowledge/experience Interest in current topics in the language training sector
