ARAISA staff work in a hybrid environment which includes a minimum of 2 days per week in the ARAISA office.

Travel within the Atlantic Region may be occasionally required.

THE OPPORTUNITY



The Atlantic Region Association of Immigrant Serving Agencies (ARAISA) is looking for a an Event Support Assistant for a 3-month contract.

Reporting to the Program Manager and working closely with the Settlement Workers in Schools (SWIS) Regional Coordinator and partners, the Event Support Assistant will assist in the planning, organizing, and delivery of a successful national conference in February 2026.

MAJOR RESPONSIBILITIES



Assist in the overall planning and management of events by coordinating with event vendors, suppliers, and an external event planning firm. Support and attend all planning and working group meetings by managing calendar bookings, preparing agendas in consultation with the team, taking detailed minutes, circulating meeting notes, and maintaining up-to-date documentation. Coordinate with the event planning firm to ensure all on-site and virtual event logistics, including venue setup, registration booth preparation and management, online platform and breakout room launch, logistical support, and catering arrangements Work with the communications team and graphic designer to oversee the promotion and outreach of the event and to create a visual identity for the conference, including title, visuals, graphics, and templates. Assist with the development of a detailed event budget, update and maintain the event budget throughout the project, and assist with post-event financial reconciliation. Work closely with the event planning firm on the registration process for both in-person and virtual attendees, including creating an online registration page, preparing and updating the list of attendees, tracking and addressing attendees' accessibility, dietary, or other needs, responding to attendees' emails and inquiries as needed Assist with travel and accommodation booking for speakers and organizers Assist in the development of written content for both the online platform and the in-person event, and arrange for translation, printing and distribution of any materials prior to, during, and after the event Assist in the post-event follow-up (evaluation, thank you, reporting, follow-up, etc.)
The Event Support Assistant is also responsible for:

Providing support to ARAISA's programs and operations as required Representing ARAISA at events or external meetings, when requested Other duties, as deemed necessary

EXPERIENCE/QUALIFICATIONS



Post-secondary degree(s) in a relevant field(s) 2 - 3 years of experience in event planning and project management Excellent written and verbal communication skills in English. French is an asset. CRM proficiency (e.g. Keela) and experience using Pheedloop or other similar online event platforms are strong assets Strong relationship-building, networking and communication skills, with experience liaising with interest-holders and vendors is a strong asset Strong organizational skills, ability to multitask and attention to detail Advanced computer proficiency, including MS Office Suite, SharePoint, and Zoom Must be legally able to work in Canada
