Event Planner

Job Description


Our client is a leading health authority and they are currently looking for a driven and highly organized Event Planner for a contract term. As part of the team, the ideal candidate is seasoned and dedicated event professional who can jump in and take over the reins for a number of upcoing internal events.
Location: hybrid, head office in North Vancouver
Hourly rate: 23 - 35/hr, depending on experience
Term: asap - June 30, 2024 with possible extension
Responsibilities:

  • Coordinate event logistical planning of multiple events including an AGM and Professional Development Forum: including venue, catering, accommodation and related contracts;
  • Lead liaison with in-house travel team to create, trouble shoot and launch event registrations in Cvent;
  • Lead bi-weekly planning team meetings;
  • Coordinate travel arrangement process for attendees, inclusive of airfare and room block lists as appropriate;
  • Coordinate sourcing and securing presenters, facilitators and wellness practitioners for the gathering and forum/s;
  • Create written material for event program including presenter bios, session descriptions, agenda materials, etc;
  • Create and maintain a current version of the event agenda and budget. Draft updates for senior management as required.
Requirements:
  • A diploma in travel/business/office administration is required and 2 years\' of related experience, or an equivalent combination of education and experience.
  • A minimum of 2 years of experience in the areas of travel, event and conference management is required, including contract logistics
  • Experience working with BC First Nations communities and/or organizations
  • Relevant, recent and significant experience in a senior administrative capacity, with a focus on travel and event support and coordination (normally acquired over a period 1-2 years)
  • Intermediate experience utilizing a variety of office tools, including MS Office (Word, Outlook, PowerPoint, Excel), SharePoint, and online registration systems
  • Solid writing skills including briefing notes and reports
  • Budget management experience
  • Experience handling sensitive and confidential information and matters in a trusted and responsible manner
  • Experience in a customer service environment
  • Experience developing and maintain administrative systems, processes and procedures
