Position Summary:
Event Planning & Logistics
o Coordinate all aspects of lecture events, including booking venues, arranging travel and accommodations for guest speakers, managing catering and technical requirements.
o Develop and manage event timelines, run-of-show documents, and event checklists.
o Liaise with internal departments (AV, security, facilities, hospitality) to ensure smooth operations.
Speaker & Guest Management
o Serve as the primary point of contact for invited speakers and their teams.
o Organize itineraries and provide on-site support to speakers before, during, and after the event.
Communications & Promotion
o Create and distribute promotional materials (event posters, invitations, social media posts, newsletters).
o Manage potential lecture series website.
o Coordinate media relations and event photography or video recording, as needed.
Administrative & Financial Tasks
o Maintain event records and databases (attendance, feedback, expenditures).
o Monitor and reconcile the lecture series budget; process payments and reimbursements in coordination with university finance staff.
Collaboration & Strategic Input
o Work closely with the ADR and Dean to support long-term planning and growth of the series.
o Assist with identifying and inviting potential speakers. Before applying, please note that to work at McGill University, you must be both authorized to work in Canada and willing to work in the province of Quebec at the campus where the position is based / located.
