Event Manager Associate

Reporting to the Director of Event Services, you'll play a key role in assisting with the delivery of detailed event service needs, by working closely with clients and accordingly directing staff and contracted service providers
Scope And Major Responsibilities:
Coordinates with all aspects of the building operation and delivery of services to patrons and the event client. Maintain and order inventory supplies required for events and event staff.
Ascertains technical requirements and other details from clients, shows the facility, as required, and ensures clients' needs and requirements are met or exceeded. Prepares written details for each event, prepares floor plans and distributes to the respective departments.
Directs operations staff, catering, audio visual, electrical, security and other front of house contractors, involved in delivering event requirements, and arranges technical meetings to ensure completion of all tasks and arrangements.
Maintains and documents facility operating procedures manual and ensures compliance with these procedures in the operations and events of the facility.
Development and maintenance of the venue customer service manual. Ensures that wide standards of customer service levels in all areas are maintained and enhanced.
Supports the training and evaluating front of house staff and contracted services, conducting performance management, and when required, disciplinary action.
Schedules appropriate levels of contracted services for each event.
Assists with the merchandise sold at events and responsible for event merchandise settlements.
Receives and answers a variety of enquiries concerning the type and availability of services and facilities.
Provides service costs and estimates and rental rates from predetermined schedules.
Serves as responsible on-site manager at events carrying out venue policies and procedures which may include responding to customer inquiries, conflict resolution and emergencies.
Qualifications
:
Successfully completed or working towards completion of a recognized, two-year, post-secondary diploma program in marketing, hospitality or tourism would be considered an asset.
One years' experience related to the hospitality or public assembly facility industry. Experience in concert rigging, crowd control and security, alcohol management practices would be an asset.
Knowledge of the principles of office management and modern office procedures and systems.
Knowledge of generally accepted accounting principles, concepts and procedures.
Ability to communicate effectively, orally and in writing.
Possess strong leadership skills and can make quick decisions with confidence.
Strong attention to detail and ability to be resourceful.
Demonstrated ability to train, motivate and supervise event staff.
Ability to establish and maintain effective working relationships with clients and employees.
Skill in the operation of office equipment, including a computer with Microsoft Office spreadsheet and word-processing software.

Security Requirements
Acceptable current Criminal Record Check (CRC) upon offer of employment.
Hours of Work:
Regular office hours plus events as required. Hours of work will be extended specifically for load in/out and event days. After hours availability may be required for client inquiries.
Available to work flexible schedule including early morning, late nights, weekends, and holidays as required for event schedule.
