EVENT FACILITATOR

SUMMARY

Reporting to the Marketing Manager, the Event Facilitator will gain hands-on skills and experience in the execution of events, programming, and administrative duties. The successful candidate will act as the primary contact on site for clients, staff, and vendors. The candidate can expect to work in a very fast paced environment that will include evenings and weekends in often physically demanding conditions based on individual event requirements. The candidate must possess exceptional communication, organizational and multi-tasking skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Act as first point of contact for guests, including greeting visitors/clients as they enter the facility and responding to inquiries via phone and email.
  • Assist Event Coordinator with administrative paperwork for the successful execution of events.
  • Assist in the preparation of client contracts, quotes, and budgets.
  • Prepares event and meeting spaces for guests.
  • Assist in the planning and implementation of events and programming.
  • Assist in the development of monthly social media marketing strategies.
  • Assist with the social media and websites by updating and maintaining current information.
  • Communicate with various SNGRDC departments to ensure accurate coverage for workshops and programming initiatives.
  • Work with third-party vendors.
  • Perform other duties as assigned.

EDUCATION / EXPERIENCE Minimum Requirements:
  • Post-secondary education in a discipline pertinent to the job function or an equivalent combination of education and experience in an event environment.
  • Experience utilizing a variety of software packages, including Word, Excel, Outlook, and Eventbrite.
  • Excellent skills in written and verbal communication, conflict resolution, leadership, interpersonal relationships, as well as conflict resolution and problem solving.
  • Excellent organizational skills including the ability to prioritize and meet deadlines.
  • Ability to work independently and in a team, and to balance initiatives and follow direction appropriately.
  • Proven customer service/relations skills with the ability to liaise with major clients.
  • Ability to communicate effectively with contracted services staff in coordinating events.
  • Flexible work schedule including evenings and weekends (outside normal business hours will be required).
  • Ability to perform moderate lifting (up to 40lbs).
  • Must pass a police record check.
