Event & Accommodations Assistant
to help bring our weddings, tours, and private gatherings to life.
About the Role
As our
Event & Accommodations Assistant
, you'll play a key role in supporting our events team throughout the season. The Event Assistant provides hands-on support throughout the event lifecycle, including planning, coordination, logistics, setup, and teardown. This role involves liaising with clients, vendors, staff, and guests to ensure flawless execution and memorable hospitality experiences across all winery events and accommodations.
Key Responsibilities
Assist with planning, preparation, and execution of weddings, private events, group tours, and seasonal special events.
Coordinate guest accommodation bookings including onsite lodgings and referrals with partner properties.
Manage bus group logistics and tour itineraries, including menu details, client communication, arrival/departure schedules and invoicing.
Support event setup and teardown, including tables, chairs, tableware, and food & beverage services.
Collaborate closely with the Events Team to ensure seamless registration, schedules, and delivery of services.
Maintain inventory of event supplies and equipment, ensuring everything is well-prepared before events begin.
Deliver exceptional customer service and respond promptly to client and guest needs during events.
Generate new events, workshops and on-site winery events.
Duties may expand in the winter months, due to the nature of the industry.
Qualifications
Minimum of 2 years' experience in
hospitality, event planning, or tourism
, preferably in a winery, hotel, or venue setting.
Excellent
organizational skills
, attention to detail, and ability to multitask.
Strong
communication skills
(verbal and written) with a polished, professional approach.
Must be
physically capable
of lifting and moving equipment, standing for extended periods, and managing logistics.
Proficiency with basic office software (e.g., emails, booking tools, spreadsheets).
Comfortable working in a
fast-paced, hands-on
environment
Flexibility to work
weekends, evenings, and holidays
