What you will do:
Provides general administrative support including preparing communications and maintaining schedules for the Engineering Department.
Maintains appointment schedules. Plans and schedules meetings, conferences, teleconferences and external party visits.
Coordinates customer visits and this includes; booking meeting room, arranging refreshments and meals, coffee, gifts, safety equipment, visitor badges etc.
Assisting with preparing necessary presentations.
Coordinates of meeting logistics and preparation of meeting room and resources. This includes:
Scheduling meetings ensuring meeting rooms are properly equipped with necessary supplies.
Booking of conferences and training seminars.
Assists with the development and documentation of engineering procedure.
Assists with ensuring engineering compliance with various engineering and company standards.
Assists the Manager of Engineering Standards with awareness of new systems or procedures.
Performs normal office functions such as setting up and maintaining files; arranging meetings and conferences; Gathers, compiles and reports on information relevant to the Engineering Department.
Generates purchase requisitions, process invoices, and track spending.
Manages Engineering Department Network Folder.
Independently, prepares reports, presentations, general correspondence etc.
Coordinates and processing of intellectual property documentation.
Assists with new employee onboarding by coordinating with HR and IS to ensure seamless onboarding.
Prepares travel documentation as required e.g. visa applications, customs documentation, letter of invitation etc.
What you will bring:
Post-secondary - college or university level or Designation of a Certified Administrative Professional
Excellent advanced knowledge of MS Office programs
Minimum of 4 years administrative support at the senior management level
High attention to detail
Ability to work under pressure with minimal supervision and be self-directed
Demonstrate a high degree of flexibility and adaptability
Additional Information:
+ Compensation: $55,000 to $60,000 annually
