Duties and Responsibilities:
Reporting to the Academic Support Officer, the Engineering Registration & ACE Coordinator is a multi-functional position providing clear, accurate and concise information on a full range of academic issues to undergraduate students, staff and faculty, of the Faculty of Engineering and Design, as well as other Academic units, University Services and the general public.
The incumbent must be experienced in oversight of administrative workflows, efficient in processing registration and academic requests. This includes the processing of forms, reviewing student records, responding to high volume of student inquiries, follow-through and completion of processes and preparing related reports, and being well-versed in providing advising to students on academic continuation evaluation decisions, recovery plans and petition matters. The incumbent is a senior member of the Academic Support Office team and is the first point of contact for students with complex academic issues.
Qualifications:
The incumbent must possess the following qualifications:

  • The incumbent must be knowledgeable of administrative and office procedures and efficient in their duties. They must possess excellent communication, interpersonal and organizational skills and be a strong team player.
  • The incumbent must be able to relate successfully and in a professional manner to all members of the University community (staff, faculty and students). Tact, discretion and respect must be exercised when dealing with students, potential students, visitors, faculty, staff, alumni and the general public.
  • The incumbent must be able to problem solve and know when and where to refer students for additional information and assistance. The incumbent must also be knowledgeable about University Services.
  • The incumbent must be able to complete work accurately and be attentive to detail. Reliability and accuracy are critical. It is important to have the necessary organizational skills, and to be able to work under pressure as a result of a high volume of requests.
  • The incumbent must be knowledgeable of the demands of, and have the ability to operate in a culturally diverse workplace. The position requires a sensitivity to, and understanding of various cultural, ethnic and linguistic profiles. They must demonstrate the ability to adapt to changing environments.
  • The incumbent is required to maintain current and thorough knowledge and skills in office applications, particularly Banner and website maintenance, including the various communication and database systems.
Education and Experience:
The above is normally acquired through:
  • Completion of a four-year University degree, preferably in Engineering or Business.
  • Four years of related experience, preferably in academic advising or engineering academic department.

This position is regularly required to work on campus in person.
