Reporting to Engineering leadership, the Engineering Administrative Assistant is responsible for coordinating administration related tasks and providing service support to the department.
Accountabilities
Coordinate Engineering daily administrative tasks
Coordinate all vendors and contractor booking and service calls
Process all invoices, cheque requests, cheque book accounting and purchase orders that relate to engineering purchases and supplies
Maintain all files including invoices, and vendors
Ensure compliance with JW Marriott standard policies and environmental practices
Maintains supply and orders products for department
GXP department champion, respond to tickets and ensure timely resolution
Represent the engineering department as a member of the Joint Health & Safety Committee
Welcome and acknowledge each and every guest with a smile, eye contact and a friendly verbal greeting using the guests' names when possible
Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working environment with active participation in the health and safety program
Communicate housekeeping needs and ensure they are resolved
Receive all order shipments and compare the purchase order to the invoice, ensure that all items are accounted for
Establish par level stock quantities for inventory and review monthly
Understands the impact of department's operations on the overall property financial goals and objectives and managing to achieve or exceed budgeted goals.
Schedule preventative maintenance services with outside contractors, according to established guidelines and policies
Brings issues to the attention of the department manager
Assists the Engineering Leadership in managing the day?to?day maintenance of the resort, as necessary
Practice professionalism in every situation with management, guests and employees, treating each person with respect and integrity.
Receive and respond to all guest concerns, comments or complaints with discretion and urgency
Maintain communication channels within the engineering and interdepartmentally
Communicate effectively and interact professionally with guests, associates and suppliers.
Adhere to all environmental policies and programs as required
Other duties as assigned
Requirements
Computer literate in Microsoft Office applications
Previous customer service experience, preferable in a resort setting
Working Conditions
Stand, sit or walk for an extended period of time or for an entire shift
Must be able to work flexible hours
