We are seeking a professional and organized Receptionist/Administrative Assistant to join our team through energy exchange program. This role is vital in ensuring smooth daily operations by managing front desk responsibilities, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office skills, excellent communication abilities, and proficiency with various software tools to contribute effectively to our office environment.
Responsibilities
Greet visitors and clients in a friendly and professional manner at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle filing systems, document management, and maintain organized records
Assist with appointment scheduling and calendar management
Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service
Support clerical tasks such as copying, scanning, proofreading documents, and preparing correspondence
Manage administrative duties related to medical or dental office operations if applicable
Perform basic bookkeeping tasks including invoicing and billing using QuickBooks or similar software
Maintain a clean and organized front desk area to ensure a welcoming environment
Experience
Previous office experience preferred, especially in administrative or clerical roles
Experience with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace required
Familiarity with QuickBooks or other bookkeeping software is a plus
Prior experience in medical or dental offices is advantageous but not mandatory
Strong organizational skills with the ability to multitask efficiently
Excellent typing speed and accuracy for data entry tasks
Proven customer service skills with professional phone etiquette and support experience
Ability to handle sensitive information with confidentiality and professionalism
