Position Summary:
Leads and supervises a small team in the editing and coordinating of academic publications for Enrolment Services, including the eCalendar website—McGill’s official academic website and contract between students and the University. Coordinates with academic and administrative units across the university and hospital network to ensure accurate, up-to-date, and easily accessible academic information. Updates eCalendars twice yearly in accordance with a negotiated publication schedule and in collaboration with 100+ content contributors while adhering to strict deadlines. Researches and attends training seminars to meet current web publishing, editing, and stylistic standards, and champions and implements improvements to the style and structure of academic publications to ensure they meet the ever-changing needs of their audiences. Manages several Enrolment Services websites, performing regular maintenance, testing, and updating in response to scheduled and unscheduled IT events. Coordinates with IT services to resolve technological and software issues and plays a key role in software upgrades and/or new software implementation. Coordinates, trains, and troubleshoots for 100+ eCalendar reviewers located throughout the McGill community on the software packages utilized in the editorial process. Remains well-versed in current technical and editorial trends and attends training/workshops as necessary.
Primary Responsibilities:

  • Manages yearly production schedule for eCalendar publications (Undergraduate; Graduate & Postdoctoral Studies; Continuing Studies; Health Sciences; and Summer Studies) and republications.
  • Manages academic content on the various platforms (Documentum, Drupal, Minerva, Banner).
  • Sets project milestones, collaborates with stakeholders throughout the McGill network, trains, and offers support to 100+ eCalendar content reviewers via yearly orientation meetings, training/lab sessions, telephone, and email.
  • Provides a positive leadership model and training to team staff, contributors, and stakeholders, is a willing mentor and shares knowledge and expertise freely.
  • Collaborates with supervisor and other leaders within Enrolment Services to develop best practices in presenting academic information to students, staff, and faculty.
  • Responsible for setting policies, procedures, and best practices related to the unit’s work.
  • In collaboration with academic/administrative unit coordinators, analyzes impact of current work processes on student experience and proactively works to investigate, conceptualize, implement, and analyze innovative solutions.
  • Researches and actively seeks training in best practices in web publishing, editing, and IT services, and proactively develops and implements improvements based on these best practices.
  • Manages and responds to inquiries on the
    ecalendarsupport.es@mcgill.ca email account, and responds to comments/inquiries from eCalendar users via the feedback form.
  • Works collaboratively with IT on implementing software upgrades and is involved in the all aspects of new software implementation, from business analysis and requirements gathering through to user acceptance testing and sign-off.

Other Qualifying Skills and/or Abilities
Communication skills, diplomacy, and ability to create and maintain relationships with collaborators throughout the McGill University and hospital network. Ability to coordinate tasks for a large number of stakeholders within strict deadlines, manage resources, set milestones to ensure successful product deliveries, and manage every step of a project lifecycle. Supervisory experience required. Ability to quickly research and evaluate complex issues and take decisive action. Experience with stylistic and structural editing, copy editing, and proofreading. Native written and spoken English language skills a must. Experience in English creative/marketing writing an asset. French written and spoken an asset. Experience using MS Office Suite, Adobe Acrobat, any Content Management System (ex.: Documentum), any Web Management System (ex. Drupal, Word press, etc.), and Minerva, a requirement. Experience using Adobe Frame maker or other print publishing software an asset. Banner experience an asset. Programming languages (HTML, XML, CSS, Javascript, etc.) an asset.

Annual Salary: (MPEX Grade 02) $47,030.00 - $58,790.00 - $70,550.00
