The Flow Coordinator plays a dual role at Aves, serving as both a senior teacher and an operations coordinator. This role is crucial in overseeing the daily operations of Aves Childcare Centre, with a focus on making real-time operational decisions that ensure the smooth functioning of the classroom they are assigned to, all while upholding Aves' philosophy and policies.
As a teacher, the Flow Coordinator is expected to be actively present on the floor with the children, engaging in mindful, meaningful interactions that support their development while upholding a positive and professional demeanor. When on the floor, the focus is on being fully engaged with the children, fostering strong relationships, and contributing to a nurturing and stimulating environment.
As the Flow Coordinator, you will also manage essential operational tasks to support the classroom's daily flow. This includes working closely with teachers, coordinators, and families to facilitate seamless transitions between activities and supporting the gradual entry of new children into the classroom. You will maintain a well-organized learning environment, ensure compliance with staffing and ratio requirements, and oversee tasks such as:
Budgeting and purchasing classroom materials
Scheduling and staffing adjustments
Overall classroom management
Leading tours for prospective families
The Flow Coordinator is part of the coordinator team but focuses specifically on the logistics and daily operations of their assigned classroom.
To support the balance between teaching and coordination duties, Aves aims to overstaff classrooms as much as possible, allowing dedicated time for the Flow Coordinator to complete operational tasks. During these periods, you are expected to focus on responsibilities like scheduling, budgeting, and material purchasing.

1. Daily Operations & Decision-Making
Makes real-time decisions to ensure the smooth flow of daily operations.
Manages teacher-child ratios, adjusting staff placement as needed to meet licensing requirements.
Oversees classroom organization and scheduling, ensuring teachers have what they need to maintain effective classroom management.
Responsible for finding coverage if a teacher is away/sick by referencing sub list
2. Transition & Gradual Entry Support
Supports new children transitioning into the centre, ensuring a smooth and responsive gradual entry process.
Works closely with teachers and families to help children adjust comfortably to their new environment.
Provides guidance and problem-solving when challenges arise and escalates to the Director, when necessary.
3. Staffing, Scheduling & Budgeting
Creates and manages classroom schedules, ensuring proper staffing coverage.
Oversees staffing adjustments based on absences, ratios, and operational needs.
Collaborates with the Curriculum Coordinator to purchase classroom materials while staying within budget.
Responsible for placing online orders for supplies or, when necessary, visiting stores (e.g., Dollar Store) outside of regular working hours to ensure classrooms have necessary materials.
4. Classroom Management & Environment
Ensures that classrooms are running efficiently, addressing any operational challenges.
Collaborates with teachers to support classroom flow, transitions, and routines.
Assists in problem-solving when challenges arise in the classroom.
5. Tours & Family Engagement
Conducts tours for prospective families, showcasing the centre and explaining Aves' philosophy, daily routines, and learning environments. This is specific to their classroom only.
Works collaboratively with the Licensing & Parent Communication Coordinator to ensure families have a positive onboarding experience.
6. Monthly Meetings & Documentation
Organizes and facilitates monthly meetings for staff to discuss operational updates.
Takes meeting minutes and distributes them to ensure clear communication among the team.
Follows up on action items to maintain accountability and consistency.
Work Schedule & Compensation
This position requires flexibility and may require working outside of regular operating hours to accommodate staffing needs, tours, family meetings, or urgent operational issues.
May occasionally require visiting stores on weekends or after hours to purchase classroom materials as needed.

Qualifications & Skills & Character Requirement
ECE Certification or higher level of education in a field related to ECE
Minimum of 3 years in an early childhood education setting with experience in classroom management, scheduling, and operations and/or minimum of 1 year's experience working at Aves.
