We're looking for an

Executive Assistant to the Vice President, Research & Impact Unit

to join our dynamic and collaborative team. The Executive Assistant provides high-level administrative and coordination support to the Vice President, Research & Impact at Indspire. This role ensures the smooth operation of the VP's office by managing schedules, preparing materials, coordinating communications, and supporting research, evaluation, and impact initiatives.



The Executive Assistant acts as a trusted partner to the VP, enabling them to focus on strategic leadership while ensuring the team's activities are well organized and effectively delivered.



Key Responsibilities



In this role, you'll be:


Managing the VP's calendar, schedule meetings, and coordinate travel and logistics. Preparing agendas, briefing notes, and background materials for meetings, presentations, and conferences. Aligning workplan deliverables and anticipating needs based on the department's strategic direction Drafting, proofreading, and editing correspondence, reports, and presentations. Tracking and following up on action items, ensuring deadlines are met. Safeguarding sensitive information and maintaining confidentiality at all times.
Team & Project Coordination


Acting as a liaison between the VP and the Research & Impact team, ensuring smooth information flow. Supporting coordination of research and evaluation projects, including scheduling, tracking deliverables, and maintaining records. Assisting in the preparation of impact reports, knowledge products, and presentations. Supporting grant reporting and funder communications in collaboration with the team.
Stakeholder Relations


Serving as the first point of contact for internal and external inquiries directed to the VP's office. Building and maintaining positive working relationships with staff, partners, and stakeholders. Supporting the coordination of meetings with Indigenous communities, partners, and funders.
Administrative & Operational Support


Maintaining organized filing systems, databases, and records. Monitoring incoming correspondence, prioritizing items for the VP's attention, and responding on their behalf where appropriate. Providing logistical support for workshops, presentations, and events. Undertaking other duties as assigned to support the effective functioning of the VP's office.
Qualifications


Education & Experience


Post-secondary diploma or degree in administration, communications, social sciences, or related field, or equivalent experience. 5-10 years of progressively responsible administrative experience, ideally supporting an executive or senior leader. Experience in nonprofit, Indigenous, education, or research/evaluation environments is an asset.
Skills & Competencies


Exceptional organizational and time management skills with attention to detail. Strong written and verbal communication skills, with the ability to draft professional documents and correspondence. Forward-thinking approach to work with the ability to think quickly, adapt, and problem-solve in a dynamic and fast-paced environment Proficiency in Microsoft Office Suite and comfort with databases and virtual meeting platforms (e.g., Zoom, Teams). Ability to balance competing priorities and meet deadlines in a fast-paced environment. Professionalism, discretion, and the ability to handle sensitive information. Knowledge of and respect for Indigenous histories, cultures, and perspectives is an asset.
Additional Requirements


This role will require travel within and occasionally outside of Canada to support meetings, events, or community engagements. Flexibility to work outside of regular business hours (evenings or weekends) may be required to meet deadlines, attend events, or support urgent priorities.
