The Opportunity



Neurogenesis Clinics is a specialized psychiatric practice dedicated to innovative, evidence-based mental health care, focusing on Deep Transcranial Magnetic Stimulation (dTMS) for treatment-resistant depression and anxiety.

We are seeking a highly organized, compassionate, and reliable individual to join our team one day per week (approximately 8 hours) to manage the day-to-day operations of our dTMS service and provide essential administrative support. This role is ideal for a student or a healthcare professional seeking highly focused part-time work.

Key Responsibilities



This position is a dual role, split between direct patient care and clinical administration.

I. dTMS Clinical Duties



Treatment Administration:

Administer dTMS treatments according to established clinical protocols and the specific prescriptions provided by the Psychiatrist/Medical Director.

Patient Comfort & Safety:

Ensure patient comfort during the 20-30 minute sessions. Provide support, education, and reassurance regarding the procedure and potential minor side effects.

Machine Calibration:

Accurately set up, position, and calibrate the dTMS equipment (e.g., measuring and documenting motor threshold, coil placement).

Monitoring & Documentation:

Monitor patients throughout the session and meticulously record session notes, changes in status, and treatment parameters in the Electronic Health Record (EHR).

Rating Scales:

Assist patients in completing mood rating scales (e.g., PHQ-9, GAD-7) before or after sessions, and accurately record the data.

II. Administrative Duties



Scheduling:

Manage the dTMS appointment schedule, coordinating with the psychiatrist's schedule and ensuring optimal utilization of the machine time.

Client Intake & Communication:

Handle phone and email inquiries related to dTMS, screen potential patients for logistical suitability, and provide necessary intake forms and instructions.

Billing & Records:

Ensure proper tracking of sessions for billing, track pre-authorizations, and maintain highly organized and confidential patient files.

Clinic Maintenance:

Maintain the dTMS treatment room, ensuring the equipment is clean and the environment is safe, calm, and organized.

Qualifications & Required Skills



Education:

Completion of a related post-secondary program (e.g., Medical Office Administration, Health Sciences, Psychology, or Nursing).

Experience:

Previous experience in a healthcare or clinic setting is highly preferred.

Technical:

Willingness to complete dTMS/TMS certification training

(provided by the clinic).

EHR Proficiency:

Demonstrable proficiency with Electronic Health Record (EHR) software (e.g., Jane App, Oscar, Telus Health, or similar).

Character:

Exceptional interpersonal skills, maturity, compassion, and the ability to maintain the highest levels of professional confidentiality and patient safety.
