Donor Care brings the voice of our donors into the mission. As Donor Care Lead, you will work closely with the Donor Care Manager to provide leadership and direction to the Donor Care team. Core responsibilities include helping develop and steward Siloam\xe2\x80\x99s relationships with our donors and overseeing the processing all donations. The incumbent is expected to assist in ensuring that time sensitive tasks are completed accurately and on target. This individual will have direct communication with donors and assist with escalations. Such individual will help guide reception coverage and work alongside Development staff with special projects as required; represent the department in development meetings along with the manager of Donor Care and attend other meetings as required.

DATA ANALYSIS

  • Help develop various reports for data analysis
  • Manage master data, including creation, updates and deletion of records.
  • Lead on maintaining the donor records in DonorPerfect, ensure that the format for respective categories of donors are the same across the database.
  • Provide quality assurance of imported data and information according to guidelines
  • Understand all aspects of our various donation processing systems and gift receiving platforms;
  • Assist with managing and designing the reporting environment.
  • Assist with standardizing reporting systems to inform, improve and advise Development strategies and activities re campaigns
  • Support the data warehouse in identifying and revising reporting requirements.
  • Maintain procedure guide for end-users on new reports.
  • Provide technical expertise in data extraction, data cleansing and storage structures
  • Respond to data related queries and keeping track of these analyzing data to identify trends
  • Support DC Manager is setting up processes and systems to make working with data more efficient.
GENERAL OPERATIONS

  • Assist in providing direction and oversight of the team. Support the prioritization of daily tasks to ensure deadlines are being met for work in the department.
  • Providing input for performance evaluations and department recognition program.
  • Support the review of work for accuracy to ensure compliance with CRA guidelines and Siloam Mission\xe2\x80\x99s policies and procedures.
  • Effect background investigation to aid resolution of mid-level escalated concerns of individuals/donors.
  • Assist with staff empowerment and process improvement as identified
  • Ensure Safe-keeping of monetary donations prior to deposit;
  • Assist in the preparation of cheques/cash for bank deposit
  • Perform other duties at the discretion of the Donor Care Manager as assigned
EDUCATION & EXPERIENCE

  • A college diploma preferably in office administration / office management or a combination of education and experience;
KNOWLEDGE/SKILLS/BEHAVIORS

  • Ability to analyze existing tools and data and provide recommendations
  • Demonstrated experience in handling large data sets
  • Demonstrated leadership and excellent communication (oral and written) skills to lead other colleagues;
  • Strong computer skills and the ability to maintain accurate documentation and timely reporting;
  • Outstanding attention to detail and organizational skills while coping with repetitive tasks;
  • Ability to work independently;
  • Able to positively foster teamwork;
  • Ability to work in a fast paced, high pressure professional environment;
  • Skilled at prioritizing, multitasking and time management;
  • Demonstrated professionalism in the workplace;
  • Experience working with volunteers in a non-profit setting an asset;
  • Familiarity with CRM databases (DonorPerfect) an asset;
RELATIONSHIP

  • Frequent daily contact in person and by email;
  • Some amount of in person interaction with colleagues and members of the community who use our services;
  • Lend support working with Development staff on an as-needed basis for special events;
WORKING CONDITIONS

  • Work is primarily in an office setting \xe2\x80\x93 long hours sitting at a desk in front of a computer and using other platforms like team, zoom etc.
  • Standard hours of Work: Monday \xe2\x80\x93 Friday (8:00 am -4:30 pm); *Possible exceptions during peak seasons*
