Documents Specialist

Job Description

Our client, a law firm in downtown Montreal, is looking for a Document Specialist to support professionals in all technical aspects of document production.

Reporting to the Chief, Legal Assistants and Secretarial Services, the incumbent will be responsible for all aspects related to document production and will act as a reference point for any matters related to the Microsoft Office suite and other office applications to all members of the firm.

Main responsibilities:
- Perform the writing, formatting and revision of legal and complex documents in Word through handwritten texts, converted PDF documents, templates and transcripts of digitized dictations.
- Create spreadsheets, tables and Excel charts as well as organizational charts.
- Design PowerPoint presentations and templates for legal documents.
- Ensure the accuracy of requested revisions by checking formatting, spelling, grammar and style conversion.
- Promote and comply with the company's visual identity by applying it to documents.
- Provide front-line technical support to users in the Microsoft Office suite, particularly in Word, using their advanced skills in Word, Excel and PowerPoint.
- Provide specialized support in other desktop applications such as Adobe Pro.
- Develop and share best practices with members of the firm to help them work effectively in the Microsoft Office suite.
- Coordinates the work to be done by setting priorities while respecting deadlines.
- Stay abreast of new technologies and developments in document production.
- Participate in special projects and perform any related tasks as needs change.

Skills and abilities:
- Degree in office automation techniques or equivalent with a minimum of three to five years of experience in document production in a professional services firm
- Mastery of the advanced functions of Word, Excel, PowerPoint and Adobe Pro
- Ability to manipulate graphics and images
- Outstanding customer service as well as excellent communication and interpersonal skills
- Excellent oral and written skills, in both French and English
- Ability to manage priorities and assess the time required to meet deadlines
- Analytical skills and ability to resolve technical issues on an ad hoc basis using precise language
- Great attention to detail
- Comfortable working under pressure in a professional and constantly changing environment
- MOS Certification, an asset
- Knowledge of organization chart creation software, an asset
