About the role
As ATB's next Document Operations Coordinator,
you will act as a gatekeeper and be responsible for the flow of physical records throughout ATB, along with managing electronic records for customers. The role is responsible for managing ATB's internal courier system and supporting the timely delivery of documents that are critical to ATB's operations. With a deep understanding of various document types and business functions, the team member is responsible for receiving physical items from every ATB location as well as imaging various types of documents to the correct electronic locations.

This is a full-time opportunity at 36.25 hrs/week
This role is on-site at ATB Calgary Campus.
Accountabilities Managing high volumes of internal mailbags and other items delivered to the team - the team is required to sort these items leveraging their strong knowledge of various documents types and business functions.
Accountable to monitor and track that every shipment has been successfully delivered, in order to quickly identify any delays or lost items. For any issues identified, the team is required to investigate and work with vendors, branches, internal partners in order to recover the shipment and attempt to minimize delays, losses, privacy breaches, etc.
Meter outgoing letter mail on behalf of all ATB locations.
Accept ad-hoc shipments and redistribute as directed.
Monitor email queue and fulfill a variety of requests submitted by branches, agencies and corporate offices.
Process signature requests: Validate the image quality of each signature, ensure that details provided correspond to what is contained in SAP and image to the correct location.
Scan various types of documents to customer files and QA electronic documents to ensure compliance with standards.
A strong understanding of document types and ATB Records Management policies to determine retention requirements.
Ad-hoc projects as required for process improvement and improved client satisfaction
Skills, experience & requirements You are technically and digitally savvy and aren't afraid to use technology, such as databases, scanners and email queues to get the job done.
You have great data entry skills and attention to detail.
Comprehensive understanding of filing systems (paper and electronic) and mailroom operations.
Physical capability for moving up to 50lbs.
Strong organizational skills
Administrative and planning skills.
A general understanding of Google Products, Kofax, Box, SAP, any other Records Management and Shipping systems would be an asset.
