Our accomplishments are due, in many ways, to the commitment, drive and determination of our staff. WM Schmidt was one of the first to achieve the coveted Alberta Occupational Health and Safety "Certificate of Recognition" (COR) in the residential mechanical industry.

We have grown our staff to 90+ and occupy a 20,000 square foot workshop. We utilize 50+ company trucks to install heating, air conditioning, plumbing, and radiant floor heating systems in and around the Calgary and surrounding areas.

Document Control & Administrative Support

|

Staff in this role thrive in fast-paced environments and are self-directed. Consistently excelling by taking initiatives, analyzing and communicating process efficiencies and potential optimizations of workflows as well as supporting the Plumbing and HVAC departments.

Key executables

for this role include a dedicated commitment and demonstrated customer first mentality and strong client (internal and external) service and satisfaction. The ability to work in a fast-paced and accurate manner as it related to the entry of requisition, customer and service-related information and data into the company's ERP (enterprise resource planning) system (Acumatica).

Our company runs on the efficiencies of our support staff and understands that these key informational conduits are what ensures our maximum client, builder and customer satisfaction.

Key Duties include but are not limited to:

Thriving in a fast-paced environment

- providing timely, accurate and client focused support to the HVAC and Plumbing departments for day-to-day filling, digitization and document control related functions.

Accurate filling and entry of client, builder and customer data

- including soft and hard copy entry and auditing of service, warranty and/or requisition related copy, data and requests.

Support the operations

and the team with work order processing, administrative tasks, provide support and assist staff with field related inquiries and job-related tracking activities.

Prepare, audit and analyze for efficiencies -

day to day processes including creation and maintenance of customer files, client files and internal reports as well as inner-office correspondence and records.

Collaborate

with all levels of supervision, management and staff to ensure smooth operational flow.

Organizational Reporting Structure:

Reports To:

Operations Supervisors and/or Department Manager (in lieu). Role receives operational guidance, direction and leadership directly via reporting to the organization's Operations Supervisors (or Department Manager in lieu) and will receive indirect guidance from the Department Managers and/or Senior Leaders as required.

Direct Reports:

None.

Successful candidates will demonstrate:

2+ years of Clerical/Document Control

related experience and/or administrative support.

Proficiency with Microsoft Office 365 and other document management related software:

demonstrated strong computer skills and familiarity with various MS Office based systems and tools.

Previous experience

operating in an ERP system a highly desirable asset.

Strong Organizational Skills:

with a high level of accuracy and high attention to detail.

Ability to manage multiple priorities:

proven ability to prioritize, manage and complete time sensitive tasks meeting and/or exceeding customer, client and/or builder expectations.

Exceptional Organizational Skills:

Proven ability to manage multiple tasks, prioritize effectively, and maintain meticulous records in a fast-paced environment.

Excellent Communication and Teamwork skills and abilities:

Superior verbal and written communication abilities, with a talent for clear and concise messaging and collaborating as a team.

Problem-Solving Skills:

Ability to think quickly, troubleshoot issues, and make sound decisions under pressure. Must be comfortable, sitting, standing, bending and reaching (for hard copy filling related activities). Ability to work both independently and as a collaborative team member. High school diploma or equivalent.

Additional Assets & Skills of Benefit:

Previous experience in the industry, particularly in similar roles and/or scopes of work.

Strong understanding of industry standards, terminology and common related issues. Strong desire to learn, grow and develop within an encouraging team environment.
