Position Objective:
We are looking for a hard-working individual to join our team as a Dispatcher. The dispatcher has a unique responsibility in a fast-paced environment that requires careful attention to detail, multi-tasking, and good communication skills. In this role, a successful candidate must have maturity, commitment, great awareness, and professionalism. You will be responsible for receiving, processing, and dispatching calls to Champion Towing drivers and responding to calls using the (DA) Dispatch Anywhere software. You must ensure that all charges related to the dispatched calls are posted properly. You will also have to handle high volumes of calls. As a Dispatcher, you will be a key player in the company and maintaining relationships between our customers, vendors, and various departments within the industry. You should be able to handle a flexible workload, with structured time management as well.
Responsibilities and Duties will include but are not limited to:
Dispatcher Duties:
Collect all required information prior to generating an invoice
Ensure all calls are handled with exceptional customer service
Coordinate with drivers and send appropriate equipment for each call
Ensure all information is taken during a call and entered correctly into the Dispatch Anywhere software
All cash call customers payment must be received before dropping off/releasing customer's equipment
Collect money from drivers for all cash calls
Generate invoices for spill jobs, rollovers, accidents, jackknifes, or any other invoices as required and send out to customers as soon as the job is completed
Make sure to balance invoices and money at end of the shift
Purchase several types of permits as required by the company
Coordinate with Fleet Manager for call bookings for heavy-duty towing, trailer/landoll calls and equipment calls
Understand what each piece of equipment can do
General knowledge of the areas of service covered by Champion Towing
Make sure drivers are available for on-call shifts and coordinate appropriately
Ensure that every account call has a Purchase Order number before it goes to accounting
Ensure overnight and weekend calls are being done appropriately
Make sure drivers are checking in and out before and after shifts
Coordinate with the shop when trucks and equipment are under maintenance or repair
Make sure all invoices are handed in at the end of every shift by every driver
Make sure all logbooks are handed in by every driver, every Friday
Maintain electronic and manual filing system and keep track of Invoice books
Maintain a list for any equipment and vehicles entering and exiting company's yard
Update all calls as progression is made (assign, on route, loaded, finished)
Make sure to update co-workers at the end of each shift so the next dispatcher has a good understanding of what is going on (who is on call, current calls going on, calls that have been booked)
All calls must have a detailed input into each category (PO Number, phone number, location, contact info, etc.)
Generate sales lead
General Duties:
Enter any missing invoices/bills from the system
Manage large amounts of incoming calls
Identify and assess customers' needs to achieve satisfaction
Build sustainable relationships of trust through open and interactive communication
Provide accurate, valid, and complete information by using the right methods and tools
Meet personal and customer service team sales targets and call handling quotas
Handle complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure that the issue was resolved
Keep records of customer interactions, process customer accounts, and file documents
Follow communication procedures, guidelines, and policies
Take the extra mile to engage with customers
Performing basic office tasks, including order invoice books, answering phones, respond to e-mails, processing mail, filing, etc
Cover duties in the absence of a co-worker
Other duties as assigned by supervisor or manager
Qualifications:
Minimum grade 12 Education or GED
Excellent understanding of Word, Excel, and Outlook
Proficient in data entry and management
Potential to mentor and train other employees
Must have effective listening and communication skills in order to assist customers professionally in person or by phone
Strong personal organizational skills as they relate to workload, time management and setting priorities in an unsupervised environment
