Kamloops Office Systems is seeking a highly organized and customer-focused Dispatcher to join our team. Reporting directly to the General Manager, the Dispatcher will coordinate service operations, manage service contracts, maintain inventory, and support administrative functions. This role will ensure efficient scheduling, and exceptional customer service to our customers.
Specific Responsibilities:
Coordinate and dispatch technicians, ensuring efficient scheduling to maximize productivity
Monitor and control work-in-progress, ensuring timely follow-up and resolution of service calls
Act as the main point of contact between customers and service technicians, providing updates and job details
Receive, log, and create service work orders from customer and technician calls
Close service calls and ensure customer satisfaction is achieved and documented
Manage inventory, including entry of new items, tracking discrepancies, and supporting inventory control processes
Prepare and issue invoices for service contracts (metered and non-metered)
Request, input, and track monthly meter reading and contract usage
Create, update, and cancel service agreements in line with contract terms
Maintain organized filing systems for invoices, and contracts
Perform general administrative duties, including reception, scheduling meetings, and booking travel arrangements
Provide sales team with customer data (e.g., usage reports, parts history)
Other related duties as assigned

Proficient with Microsoft Office (Word, Excel, Outlook)
Experience with ERP/ accounting systems: Accpac knowledge is an asset
Familiarity with service contract billing and inventory management
Desired Qualifications:
High School diploma or equivalent (Grade 12 required)
Post-secondary coursework in administration or finance preferred
Minimum 2 years' experience in a similar administrative or dispatcher role
Experience with inventory control, service scheduling, and customer relations
Excellent customer service skills with a proactive, solution-oriented approach
Ability to work effectively under pressure and meet deadlines
Strong organizational and time management skills, with attention to detail
Ability to work independently and collaboratively as part of a team
Professional demeanor and high level of confidentiality
