As the Dispatch/Transportation Coordinator, the successful candidate will be responsible for the leadership and administration of New-Life Mills truck fleet at the Denfield and Listowel locations. They will oversee staffing, scheduling, hours of service, coordination of efficient delivery of finished product; maximizing the cost-efficiency of deliveries while meeting customer expectations for accurate and on-time delivery. Responsible for building and maintaining relationships with delivery employees, you are a key member of the customer service team. With 2 Dispatcher roles, you will work an interlocking master schedule to provide 7-day dispatch coverage.

You will be responsible to provide oversight and support for all NLM Ontario facilities transportation related requirements (such as driver training, insurance and licensing requirements, while ensuring that laws, regulations, and internal policies are being strictly adhered to). The Dispatch/Transportation Coordinators will work closely to ensure the most effective use of our transportation equipment and to assure customer requirements are met. The successful candidates will be mechanically inclined, able to assess and schedule the maintenance needs of the fleet and will also be responsible to ensure that the transportation fleet is meeting all safety and compliance business requirements. You will be the internal expert on Omnitracs reporting, driver logs (paper and/or electronic), hours of service reporting and responsible for cost tracking on the fleet.

Your day to day activities will include:

  • Maintaining an understanding of process flow for orders (incoming calls, typing, checking, pulling from system for pre-dispatch, dispatch)
  • Proactively setting up truck dispatch for each day to facilitate early loading of available trucks and maximize haul back opportunities on incoming ingredients
  • Monitoring drivers' daily logs for errors or violations and monitoring their working hours, drivers log, driver destination sheets, CVOR and dealing with infractions accordingly
  • Serving as a reliable point of contact to balance drivers' health and safety with customer requirements
  • Coordinating and managing the most efficient loads to remain cost-effective as a company; combining shipments based on routes and timeline to minimize number of trucks and drivers that are out
  • Coordinating and using Omnitracs (GPS tracking) - truck location, macros, communication with drivers and reporting
  • Being familiar with Specialized Feed Delivery Equipment - number of compartments, bulk capacity by texture, ability for bags, auger vs blower, etc.
  • Understanding geography of customers as it impacts efficient delivery.
  • Scheduling and maximizing haul back of raw ingredients (familiarity with supplier locations, loading times, etc.)
  • Understanding biosecurity procedures, requirements and specialty feed programs, and the protocols with respect to sequencing, flushing and disinfection requirements
  • Reacting appropriately to "emergency" delivery decisions.
  • Overseeing pre-trip inspection/schedule 1 (major/minor issues); documenting correction of major issues
  • Managing driver scheduling, time off requests and bi-weekly payroll administration
  • Performance monitoring and coaching; mentoring new employees and executing driver training
  • Supporting the scheduling of fleet for regular service to meet the intervals required under transportation policy and to promote a safe and efficient fleet.
  • Ensuring all units within the fleet receive maintenance in accordance with P&H Transportation Policy guidelines; scheduling and advising plant and delivery teams when service is due for completion
  • Complete truck inspections in accordance with P&H Transportation policy and Feed Assure program
  • Liaising with customer service on delivery changes and delivery times
  • Act as liaison with all third-party maintenance providers, including consultation on maintenance required and associated costs
  • On-call for after hours/weekend driver and delivery issues
Coordinator 1 Duties:
  • Ensure that all Commercial vehicle drivers' hours of service regulations are adhered to and transportation staff are appropriately trained
  • Coordination of training to all New-Life Mills delivery personnel in the areas of Good Driver Practices, Loading, Health & Safety, and other training/certification as required
  • Ensure the P&H Transportation policies are standardized and followed to include scheduling meetings, setting agendas at all sites (Denfield, Listowel, Wyoming and Inkerman).
  • Perform annual gap audits, garage audits and driver ride along reviews
  • Maintain, review and audit logbooks and maintenance reports
  • Maintaining proper supply of parts/oil on site at each location (Listowel, Denfield)
Coordinator 2 Duties:
  • Working with the Transportation Safety Committee on accident reporting, investigation and prevention, provide leadership of the review committee.
  • Maintain a centralized filing system regarding insurance, maintenance reports, accident reports, logbooks, etc.
  • Manage capital equipment, Omnitracs fleet management system and all new equipment purchases, maintaining truck cost spread sheet.
  • Develop and implement key performance indicators for Omnitracs fleet management system.
  • Annual review of truck licenses, reporting, filing, etc. for Canada and any required Inter-Provincial.
  • Obtain and review driver abstracts semi-annually in accordance with P&H Transportation Policy
  • Ensure company Commercial Operator Vehicle Registration is in good standing and any infractions are dealt with accordingly.
The successful candidate should enter the position with the following qualifications:
  • A college diploma in transportation/logistics, supply chain management, or equivalent experience
  • Experience driving truck and Health & Safety training specific to Transportation is an asset
  • An agriculture background with knowledge of feed ingredients and medications is an asset
  • Ability to identify key issues; creatively and strategically overcome internal challenges or obstacles
  • A clear and solid understanding of personnel policies, practices, procedures and other operational issues faced by the organization
  • Effective attention to detail and a high degree of accuracy
  • A high level of integrity, confidentially and accountability
  • Sound analytical thinking, planning, prioritization and execution skills
  • A well-defined sense of diplomacy, including solid negotiation, conflict resolution and interpersonal skills
  • Strong computer skills, particularly MS Office
  • On call availability for after-hours delivery and customer service-related emergencies
