Job Description

YYC Freight Services Inc. is a well-established Calgary based company offering warehousing, ground handling and transportation services to the freight forwarding community, direct shippers, and the aviation industry. Located at the Calgary International Airport with direct access to tarmac (airside), we are perfectly situated to service our customers on and off the airport.

Our main area of service for deliveries is Calgary, Edmonton and surrounding areas, and we also do hotshot requests throughout Alberta and western Canada. Our dispatchers are the primary source of information for everyone on our team including warehouse and office employees, and they manage the daily activities of all company owned assets including vans, 5-ton trucks, and tractor-trailer units.

We are currently looking for a dedicated and motivated individual to join our team as a Dispatch Coordinator. This is a permanent full-time role with Monday to Friday shifts from 8:30 to 17:30.

Responsibilities



Support the Dispatch Manager with planning and coordinating daily operations. Communicate customer requirements and expectations to team members as needed, following up to ensure that requested tasks are completed successfully and on time.

Organize, monitor, and consolidate the deliveries and routing for our team of six company drivers with the ongoing goal of trying to utilize our resources in the most optimal and safe way possible.

Constantly adjusting plans and driver assignments whenever necessary to ensure customer commitments are upheld and deliveries are prioritized and completed as required.

Liaise and interface with freight forwarders and customers, following up on all service requests and enquiries with a positive, proactive, and timely approach. Provide service quotes and rates for all deliveries, warehouse requests, and other special projects.

Work in conjunction with the Dispatch Manager to ensure that all procedures and instructions are followed, and that the service expected is delivered in accordance with customer expectations and/or contracted terms.

Investigate and resolve any service issues and ensure there is timely follow-up to ensure customer satisfaction and company integrity are maintained, involving the General Manager as required.

Promote and market the services that the company offers with the goal of developing and creating new business and expanding our current client base, while maintaining optimal service for existing customers.

Ensure driver's compliance with Hours of Service and Safety regulations when dispatching

Monitor and plan for fleet maintenance and inspections, communicating vehicle concerns so that any issues are addressed as soon as possible.

Ensure that all dispatch orders are entered, billed, and invoiced correctly and on time.

Handling import and export requirements, customer drop-offs and pick-ups, phone and e-mail enquiries, and other customer service requirements when necessary.

Assist with booking hotels for drivers, arranging out-of-province permits, and scheduling delivery appointments when required.

Qualifications



Previous freight dispatching and transportation experience a definite asset

Strong knowledge of the airline, freight forwarding, and logistics industries

Knowledge of Calgary roads and surrounding areas in Alberta

Strong organizational, time management, and planning skills

Strong problem solving and trouble-shooting skills

Must be a dynamic, self-motivated, and enthusiastic individual who thrives under pressure and is able to perform multiple functions and prioritize tasks accordingly

Must be able to pick up new concepts and learn new systems quickly

Must be proficient with computers and e-mail use, with strong typing and data entry skills, and the ability to handle high e-mail volumes

Must have a high level of accuracy and be reliable, punctual, self-motivated and capable of working with minimal supervision

Superior interpersonal & communication skills

Must be able to pass security clearance (background check)

Knowledge of Samsara fleet management and Delivery Suite software is an asset.

Compensation



Wage is negotiable based on experience and qualifications

Paid time off on statutory Albertas holidays.
