DIRECTEUR.TRICE DES FINANCES ET DES OPERATIONS

Relevant du directeur de l'ecole, le/la directeur.trice des finances et des operations est responsable d'assurer la viabilite financiere a long terme de l'ecole grace a une planification, a une analyse et a une production de rapports financiers efficaces.

Il/elle supervise les finances et les operations quotidiennes de l'Ecole The Priory et de sa Fondation. Il/ elle surveille la performance financiere et met en oeuvre des processus efficaces pour s'aligner sur les objectifs strategiques de l'ecole.

Le/la directeur.trice est responsable de veiller a ce que le batiment, les terrains et les biens physiques de l'ecole soient adequatement entretenus et assures et que des mesures de securite appropriees soient en place. Il/elle supervise egalement la gestion efficace des services alimentaires.

Il incombe egalement au/a la directeur.trice des finances et des operations de s'assurer que l'ecole respecte toutes les reglementations gouvernementales, maintient des registres appropries concernant les employe.es, les fournisseur.ses et les finances, prepare les etats financiers et les rapports et procede au depot en temps opportun des divers rapports requis par les ministeres provinciaux et organismes associes.

Responsabilites specifiques



Finances

Cycle comptable complet : saisie de toutes les donnees financieres dans les systemes comptables, facturation/comptes clients (frais de scolarite, services de garde, activites parascolaires, etc.), comptes fournisseurs (traitement et paiement des factures), tenue des sous-livres, preparation et saisie des ecritures de journal, conciliations de fin de periode. Elaborer et superviser les budgets annuels de fonctionnement, incluant les previsions pluriannuelles. Preparer et maintenir les etats financiers et rapports (Ecole, Fondation, boutique d'uniformes) ainsi que les annexes, conciliations et analyses de variance. Assurer la preparation et le depot exacts et ponctuels des declarations gouvernementales (TPS/TVQ, declarations fiscales, feuillets T4/RL-1, T4A et RL-24). Preparer et presenter les mises a jour financieres lors des reunions des comites des finances. Superviser et controler tous les achats de l'ecole afin d'assurer un processus d'approvisionnement efficace aupres des fournisseur.ses appropries et selon les approbations requises. Surveiller la tresorerie et gerer strategiquement les flux de tresorerie. Preparer la documentation et superviser la verification financiere annuelle et toute autre verification externe. Preparer la paie bi-hebdomadaire, tenir a jour les dossiers de remuneration, saisir les heures et assurer l'exactitude des salaires et des retenues a la source. Effectuer l'analyse fiscale de certains revenus, depenses et avantages (recus de dons, recus RL-24, avantages imposables). Administrer la police d'assurance generale et les avantages sociaux des employe.es, y compris le regime de retraite (Retraite Quebec) et l'assurance collective. En collaboration avec la direction de l'avancement, preparer des simulations et modeles financiers pour des projets d'expansion. Soutenir le processus de rapprochement des dons, au besoin.
Operations

Superviser l'entretien preventif des batiments et terrains afin d'assurer un environnement scolaire et de travail securitaire. Repondre aux urgences touchant les installations et coordonner les ressources sur place. Superviser les inspections et exercices d'incendie annuels. Assurer le suivi des demandes de travaux du personnel enseignant et du personnel de soutien. Coordonner divers projets avec l'equipe d'entretien et les entrepreneurs externes. Superviser le travail de l'equipe d'entretien et des sous-traitants. Maintenir l'inventaire des outils et fournitures; commander les pieces necessaires. Veiller au respect des protocoles de securite. Superviser la gestion du personnel de cuisine et le fonctionnement quotidien du service alimentaire. Collaborer avec le chef cuisinier de l'ecole lors de la revision des menus hebdomadaires et y apporter des ajustements au besoin.

Exigences du poste :



Baccalaureat en comptabilite, finances ou domaine connexe; titre de CPA requis. Minimum de sept (7) annees d'experience pertinente en finances et operations. Solide comprehension des normes comptables pour les organismes sans but lucratif, y compris la comptabilite par fonds. Maitrise des taxes de vente et de l'impot sur le revenu. Excellentes competences en communication et bilinguisme (francais et anglais). Competences analytiques avancees en modelisation financiere, budgetisation et previsions. Maitrise des logiciels comptables et bureautiques (Excel, QuickBooks). Connaissance des methodes, materiaux et equipements lies a l'entretien menager, a l'amenagement paysager et a l'entretien des batiments. Connaissance des reglements en sante et securite. Sens exceptionnel du detail et capacite a gerer plusieurs dossiers simultanement. Attitude enthousiaste, positive et proactive; joueur(se) d'equipe axe(e) sur l'excellence du service. Capacite a maintenir la diplomatie, la confidentialite et la discretion. Experience dans le milieu de l'education ou a but non lucratif, un atout.
Salaire : 100 000 $ - 120 000 $ par annee

A noter : il s'agit d'un poste permanent, a temps plein, sur place, avec cinq subordonne.es direct.es, dont deux employe.es d'entretien et trois employe.es de cuisine.

DIRECTOR OF FINANCE AND OPERATIONS



Position Summary:



Reporting to the Head of School, the Director of Finance and Operations is responsible for ensuring the school's long-term financial sustainability through effective financial planning, analysis, and reporting. The Director of Finance and Operations oversees the day-to-day finance and operations for The Priory School and The Priory School Foundation monitoring financial performance and implementing process efficiencies to align with the school's strategic goals.

The Director of Finance and Operations is responsible for ensuring that the building, the grounds and the physical contents of the school are properly maintained and insured, and that appropriate security measures are in place. The Director is also responsible for the efficient management of food services.

It is the responsibility of the Director of Finance and Operations to ensure that the school complies with all government regulations, maintains appropriate employee, vendor and financial records, prepares financial statements and reports, and ensures the timely filing of the various reports required by provincial ministries and associated organizations.

Specific Responsibilities:



Finance

Full-cycle accounting, including entering of all financial data in the accounting systems, billing/AR (invoicing and collection of school tuition, after-school fees, extra-curricular fees, etc.), AP (including processing and payment of invoices electronically and by cheque), maintaining all subledgers, preparing and entering all journal entries, and preparing all period-end reconciliations Develop and oversee the annual operating budgets, including multi-year forecasts Prepare and maintain financial statements and reports (School, Foundation, uniform boutique) and supporting schedules, reconciliations, and variance analysis for internal review Ensure external reporting such as government filings (GST/PST returns, tax returns, T4/RL-1 slips, T4A slips and RL-24 slips) are prepared, paid and filed accurately and on time Prepare and present financial updates at meetings of the Finance Committees Oversee and monitor all school purchases to ensure an efficient procurement process with appropriate vendors and approvals Oversee treasury and strategic cash flow management Prepare supporting documents and oversee the annual financial audit and other external audits that may arise Prepare the bi-weekly payroll, including maintaining staff compensation files, entering hours, and ensuring accuracy of gross pay and deductions at source Analysis of tax treatment for certain revenue, expenses and benefits, including eligibility for donation receipts, eligibility for RL-24 receipts, and taxability of employee benefits Responsible for the administration of the general insurance policy, and employee benefits including pension plan (Retraite Quebec) and group insurance In tandem with the Director of Advancement prepare simulations and financial models for expansion Support the donation reconciliation process, as required
Operations

Oversee maintenance and preventative maintenance of buildings and grounds to ensure a safe school/work environment Respond to building emergencies and coordinate on-site resources Oversee annual fire inspection and fire drills Follow-up on work order requests from faculty and staff Coordinate with the maintenance staff on various projects throughout the school Liaise with external contractors to schedule repairs/renovations/projects to ensure prompt and efficient completion Supervise the work of the maintenance team and all sub-contractors working in the school Maintain inventory of maintenance tools and supplies. Order parts/supplies, as required Ensure compliance with safety and security protocols Oversee the management of the kitchen staff and the day-to-day operation of food service Liaise with the school's chef to review weekly menus and make adjustments, when necessary

Position Requirements:



Bachelor's degree in Accounting, Finance, or a related field; CPA designation required Minimum seven years of related financial and operational experience Strong understanding of Accounting Standards for Not-for-profit Entities, including Fund Accounting Proficiency with sales tax and personal income tax Superior communication skills and fluency in both English and French Advanced analytical skills with experience in financial modeling, budgeting, and forecasting Command of accounting software and systems (Excel, QuickBooks) Understanding of methods, materials and equipment used in custodial, grounds keeping and building maintenance Knowledge of health and safety regulations Exceptional attention to detail and ability to multi-task Enthusiastic, positive, proactive team player focused on delivering the highest standards of customer service Ability to maintain diplomacy, confidentiality and discretion Experience working in a not-for-profit/and or educational field is an asset
Salary: $100,000-$120,000 a year

N.B. This is a full-time, on-site position with five direct reports including two maintenance workers and three kitchen staff.
