Job Description

Walmer Road Baptist Church (Walmer) is seeking a full-time Director of Administration who will oversee and ensure the effective execution of the day-to- day operations of the church as a building, a not-for-profit institution, and a Christian congregation. This is an executive level leadership position that requires some previous experience working in a church environment. This position will be 40 hours a week, inclusive of Sundays and some evenings as needed.

We are a diverse, growing congregation in a time of transition. We have a unique partnership with a local developer who will be significantly renovating and developing our huge, historic building, following which the church will own and operate a new 10,000+ sq. foot space within the larger development. Expectations of the Director of Administration will be subject to change as the needs and the resources of the church change.

The church was established in October of 1889 at the corner of Walmer Road and Lowther Avenue, just a block north of what is now downtown Toronto, and is a member of the Canadian Baptists of Ontario and Quebec (CBOQ). Its founding vision was that it would be a place where "the rich and poor gather together, for the Lord is the Maker of all." This vision of diversity that does not divide, but instead enriches, continues to inspire us and shape us.

While this role is largely administrative in nature, it is also a pastoral role in that Christ-like engagement with people from all walks of life is expected, as is a mature Christian faith, and a commitment to sharing that faith in word and deed and caring for those connected to Walmer as the need arises. The current Walmer staff includes the Lead Pastor and the Director of Administration, who are expected to work alongside each other. Both staff positions report to the Walmer Board.

It is expected that the Director of Administration will become a member of Walmer, which requires this person to be a baptized follower of Jesus who affirms our Baptist Distinctives and aligns with Walmer's understanding of church and ministry. Furthermore, because of the centrality of the Sunday gathering for Walmer's congregation, it is expected that Sunday will be a workday for the Director of Administration.

Responsibilities and Duties



1. Represent Walmer

Serve as the official liaison between Walmer and the various organizations with whom Walmer does business and ministry, including those connected with the development project, building, property, church finances, and the government.

2. Church Finances

Provide support and day-to-day execution of financial tasks as needed. This includes, but is not limited to the following:

a. Provide support as needed to the Tellers, Donations Secretary, Bookkeeper, and Treasurer, including the following:

i. Ensure they have whatever physical materials they need to do their jobs (such as cheques, deposit books, and deposit bags), and

ii. Ensure all digital tools are operational and accessible as needed.

b. Assist the Bookkeeper as needed.

c. Ensure proper storage and disposal of financial records as required by law.

d. Approve and manage budgeted expenditures.

e. Manage and reconcile credit and debit card transactions and petty cash.

f. Ensure annual reporting and forms (T4s, ROEs, etc.) are completed as required.

g. Make bank deposits as needed.

3. Policies, Practices, and Record-keeping

a. Review Walmer's policies and practices as directed by the Board. This includes securing legal opinions as deemed necessary by the Board.

b. Ensure accuracy and security of all church records.

c. Manage all staff and volunteer documentation.

4. Property and Building

Manage the property, building, and its contents to ensure they are safe, sufficient, and available as needed.5. Communications

In collaboration with the Board and the Pastor, develop, implement, and maintain a communications strategy for both internal and external messaging.

6. Leadership

a. Serve as a member of the pastoral team, providing support and assistance as needed to the Pastor and various ministry endeavors of the church.

b. Serve as an ex officio member of the Board, providing support and assistance as needed.

c. Provide support and assistance as needed to the Trustees.

d. Develop, manage, and support volunteers in all areas connected to areas of responsibility.

Qualifications and Skills



Experience working in a church environment and with volunteers Experience working in an executive leadership position with responsibility for decision making and for following and defining best practices Theologically reflective, Biblically knowledgeable, and committed to ongoing personal discipleship as a follower of Jesus. Relationally adept Strong problem-solving skills with a detail-oriented approach and proven ability to assess issues, evaluate options, and develop practical, forward-looking solutions Committed to personal professional development Self-motivated and flexible in terms of scheduling, while effectively managing priorities and time Capable communicator in speech, writing, and various digital formats
