The Role
We're looking for a Digital Project Coordinator for a 16-month+ contract starting January 2026. You'll work directly with the agency owner and our development team to keep projects organized, clients happy, and requests moving smoothly.
It's a hands-on, detail-driven role - part traffic controller, part problem-solver, part digital Swiss Army knife. There's strong potential for a permanent position afterward.
What You'll Do
Triage, prioritize, and delegate incoming client requests
Complete smaller website updates (content edits, layout tweaks, bug fixes)
Book and coordinate meetings between clients and the Machine team
Organize staff workload and manage project timelines
Monitor maintenance hours, flag overages, and process pre-approved billing
Estimate work requirements and assist with new scopes
Manage Google Ads and Meta Ads campaigns (adjustments, reporting, optimization)
Build and send branded HTML emails and newsletters
Clear Cloudflare caches and handle light hosting/admin tasks
Keep communication clear, calm, and proactive
What You'll Bring
2-4 years of experience in a digital agency or project coordination role
Solid understanding of WordPress - confident with content, plugins, and troubleshooting
Clear, proactive communication skills
Strong organizational instincts and attention to detail
Experience with ClickUp, Google Workspace, and Slack
Bonus points for:
Google Ads / Meta Ads management
Light HTML / CSS
Familiarity with Cloudflare or hosting environments

Schedule: 4 x 8-hour days (we're off Wednesdays)
Location: Remote, with occasional Ottawa-area lunches, and the ability to work from our office
