We're a 25-person digital marketing agency with 20+ years in business and 200+ active clients. We build websites, run SEO and paid campaigns, and manage social media for companies in pool/spa, home building, healthcare, and professional services.
We've got the clients. We've got the talent. Now we need someone to make sure everything runs on time and nothing falls through the cracks.
Your Role
This is the operational backbone of the agency. You'll own project delivery across the entire team--ensuring work gets done on time, on budget, and to the standard our clients expect. You're not managing people's careers; you're managing their work and making sure the machine runs smoothly.
You'll report directly to the CEO and have full visibility into every project, task, and deadline in the agency.
What you'll do:
Own the project management system--live in it daily, keep it accurate, hold the team accountable to it
Ensure all client projects are delivered on time and within scope
Assign and balance workloads across the 25-person team (designers, developers, SEO specialists, account managers)
Proactively identify bottlenecks, delays, or resource conflicts before they become problems
Communicate project status and timelines to clients--set expectations, provide updates, manage changes
Support team members by removing blockers and ensuring they have what they need to deliver
Build and refine operational processes: templates, workflows, checklists, SOPs
Report to the CEO on agency performance: utilization, delivery metrics, project health, capacity planning
Coordinate with account managers to ensure client needs translate into clear, actionable tasks
What We're Looking For
Must-haves:
5+ years in operations, project management, or traffic/resource management (agency experience strongly preferred)
Deep experience with PM tools--you've managed work in Accelo, Asana, Monday, Teamwork, ClickUp, or similar platforms
Obsessive attention to detail: deadlines, scope, deliverables, follow-ups
Strong client communication skills--you can deliver status updates, manage expectations, and handle tough conversations professionally
Ability to see the big picture while tracking dozens of moving parts simultaneously
Comfortable holding people accountable without micromanaging
Calm under pressure--agencies move fast and priorities shift constantly
Nice-to-haves:
Experience in a digital marketing or creative agency specifically
Familiarity with web development, SEO, or paid media workflows
PMP, Scrum, or other project management certifications
Experience with resource planning and capacity forecasting
Background in process improvement or operational efficiency initiatives
Who You Are
You're the person who notices when a deadline is slipping three days before anyone else does. You keep lists, you follow up, and you don't assume something got done--you verify it. You're not interested in being a bottleneck; you're interested in removing them.
You're organized but not rigid. You know when to enforce a process and when to adapt. You communicate clearly, flag issues early, and take ownership of outcomes.
