Compensation Range $4,688.67 - $6,754.00 CAD Monthly

In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.

Job Summary
The Dietetics Program Manager is responsible for developing, evaluating and assessing academic advising services for both the UBC Dietetics (Undergraduate) Program and the Master of Nutrition and Dietetics (graduate) Program within the Food, Nutrition and Health Program in the Faculty of Land and Food Systems. Primary responsibilities include supporting the academic success, personal/career development and retention of domestic and international students enrolled into the Programs. This requires potential incumbents to maintain an in-depth current understanding of program requirements and options to provide accurate, consistent and individualized advising services. The Program Manager undertakes special administrative initiatives as required.

Organizational Status
Works independently under the general direction of the Director of Dietetics. Interacts with undergrad and graduate Dietetics students and works closely with the other dietetic team members, LFS staff and faculty. With considerable autonomy, this position contributes directly to the development of policies and priorities of the Program. Liaises with the Student Services team and the Graduate & Postdoctoral Studies unit within the Faculty as well as individuals/departments/units both internal (i.e. University Counsel) and external to the Faculty and the University including the Health Authorities.

Work Performed

  • Maintains extensive knowledge of resources available to students across campus, and refers students to relevant and appropriate university resources, such as healthcare, finance, counselling as required.
  • Under the general supervision of the Director, develops policy, procedures and priorities for advising, course instructor evaluations, course set-up/scheduling and course outline projects.
  • Develops and implements strategies to ensure Dietetics students are supported by conducting research, recommending, developing and implementing new recruitment, transition/onboarding, engagement and career planning projects to the Program.
  • Manages undergraduate and graduate student management, academic advising functions and engagement cycle processes for the Dietetics programs.
  • Advises students with registration inquiries and course selection to ensure they meet degree and promotion requirements for the Dietetics major / MND and selected program prerequisites and admission requirements. Provides advice about academic concession, continuation requirements, transfer credit, and re-admission to the University.
  • Evaluates student (Dietetics Major and MND) academic records and histories in order to provide individualized advice for students regarding academic planning, including course registration, admission to competitive majors/minors, adjudication and for degree-completion, in line with their personal and career goals.
  • Proactively develops and sustains advising relationships with students throughout their program and ensures that students are actively supported throughout their program.Identifying students, or wider concerns/trends that need to be addressed by supervisors or units/programs.
  • Participates in the planning and evaluation of academic advising processes by evaluating and making recommendations for areas of potential improvement and growth and develops advising programs, policies and initiatives to support the strategic direction of both programs.
  • Investigates and resolves general inquiries relating to registration, credit limits, registration blocks, transfer credits, loan eligibility and other discrepancies, reaching out to other campus units such as Admissions, Enrolment Services, Access and Diversity, Student loans office when appropriate.
  • Actively develops and sustains relationships with other units such as the above and LFS Student Services and Graduate & Postdoctoral Studies to ensure advising is consistent with the larger university practices.
  • Supports the Dietetics Practice Education placements including setting up courses in Canvas, ensuring students matched to the appropriate practice education sites is documented, establishes affiliation agreements for non-health authority placements and confirms placement onboarding requirements are met.Each placement is unique and will need compliance with specific health authority requirements.
  • Works with the Ministry of Health, Academic Education within PHSA on HSP-net on practice education planning.HSP-net is the provincial practice education portal and must ensure all student placements are updated in this online placement system.
  • Researches, compiles and analyzes advising statistics and trends, creates and presents summary reports.
  • Develops and manages program budgets, identifying discrepancies and recommending account corrections and providing monthly reports for the Director of Dietetics. Determines other budgetary needs/proposals related to new initiatives for the programs and to the Director\xe2\x80\x99s research and ensures financial compliance of financial policies/protocols, liaising with FNH/LFS Finance staff as needed.
  • Participates in identifying student-focused systems and processes that require improvement, mapping current processes, re-designing processes, making recommendations for change as well as implementing approved changes.
  • Performs other related duties as required.
Consequence of Error/Judgement
Advising services and decisions directly impact the quality of the student experience. Inaccurate information, lack of sensitivity, misinterpretation of University, Faculty and Program policies could cause students serious difficulty in attaining their educational objectives. Poor performance in this position would contribute to inefficient operation, financial hardship and low-quality service being provided. This in turn affects the reputation and credibility of the programs, the Faculty and the University thereby affecting retention and future enrollment of students. Not considering the intercultural aspects of communication with and commitment to students can adversely affect the Manager\xe2\x80\x99s ability to function in a culturally diverse arena. Failing to identify a student in crisis or in need of support can result in a delay of necessary support services and jeopardize a student\xe2\x80\x99s wellbeing. Failure in one or all of the above may result in students leaving the University or having a negative experience while at UBC.

Supervision Received
Reports to the Director of Dietetics, working independently, consulting the Director regarding new or unusual matters. Works closely with LFS Student Services and Graduate & Postdoctoral Studies. Collaborates with Dietetic members for specific projects.

Supervision Given
Supervises Dietetics Program Coordinator and possible Work Learn students.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience

Preferred Qualifications
  • Related experience particularly on a post-secondary advising or other student services and administrative area.
  • UBC experience is preferred.
  • Experience in student placements is an asset.
  • Maintains current awareness of the literature and research in the field of student affairs and academic advising best practices, particularly in the Dietetics context.
  • Knowledge of the field of student affairs and leadership theory is a key asset.
  • Experience working with international and/or Indigenous students an asset.
  • Exceptional interpersonal skills.
  • Demonstrated ability to communicate effectively one-on-one and in public speaking roles is essential.
  • Excellent time management and organizational skills; ability to plan ahead, anticipate problems, and meet deadlines efficiently.
  • Proven ability to organize events, lead promotion activities, and coordinate and support student support programs.
  • A highly-motivated and creative person with excellent analytical and problem-solving skills.Good decision-making abilities.
  • Ability to work independently with initiative, and effectively within a team environment.
  • Ability to handle stress within a multifaceted work environment.
  • Computer experience required at an intermediate level (Information technology skills, including word processing, report design, etc. Intermediate or advanced level knowledge of excel is an asset).
  • Experience with online learner management systems, design tools (such as Canva, Adobe, etc.) is an asset.
  • Knowledge of the SIS/SISC, Workday Student and other UBC systems is an asset.
