Role Summary

We are seeking a highly capable Deputy Operations Manager to help manage daily operations, maintain high service standards, and provide dependable operational support to senior leadership within a dynamic, fast-moving business.

This position is suited to someone who is exceptionally organised, sharp under pressure, and proactive by nature. You will be expected to go beyond routine admin work, taking real ownership of operational responsibilities, addressing issues as they arise, and ensuring the business runs efficiently across people, systems, and processes.

This is an active, responsibility-driven role - not a traditional admin, VA, or passive support position. Independent thinking, initiative, and accountability are essential.

This is a

hybrid role

, not a fully remote position.

While many responsibilities can be handled remotely, the role requires availability to support the CEO

in person when operational needs demand it

. This may include attending meetings, assisting with operational tasks, or providing hands-on support that cannot be done remotely.

Applicants must be reliable, adaptable, and comfortable working closely with leadership both online and on-site when required.

Core Responsibilities



Operations & Administrative Support



Manage and oversee day-to-day operational and administrative activities Assist leadership with ongoing operational priorities and execution Keep internal documentation, reports, and records accurate and up to date Ensure internal systems, tools, and workflows are functioning as intended

Quality Assurance & Process Management



Perform regular quality checks across internal operations and client outputs Identify inefficiencies, risks, or breakdowns in workflows Proactively raise concerns and recommend improvements Ensure company standards are consistently met across all teams

Communication & Team Coordination



Work closely with multiple teams to ensure timelines and expectations are met Monitor communication standards and response times Ensure professionalism across internal and external communications Facilitate clear, structured communication between leadership and teams

Client Issues & Escalation Handling



Serve as an initial point of contact for client concerns or escalations Manage sensitive situations with professionalism and emotional intelligence Support issue resolution while recognising when escalation is required Ensure all issues are properly documented and followed through

Ownership & Decision Support



Assist with operational decision-making in time-critical situations Step in proactively to resolve problems - this role requires ownership, not micromanagement Act as a reliable extension of leadership when needed Ensure tasks, issues, and responsibilities are not overlooked

Required Skills & Competencies



Proven experience in operations or administrative roles Strong communication skills with high emotional intelligence Ability to make sound decisions under pressure Highly detail-oriented with a strong sense of responsibility Comfortable handling confidential or sensitive matters Strong analytical and problem-solving abilities Able to work independently without constant supervision Confident using internal tools, systems, dashboards, and software Flexible and dependable, including availability for occasional in-person support

Pay: $2,000.00-$4,000.00 per month
