The Treatment Plan Coordinator plays a key role in supporting patients' understanding of their dental treatment options and ensuring a smooth transition from diagnosis to acceptance of care. This role combines administrative expertise, patient education, and financial coordination to help patients make informed decisions.
Hours:
Monday: 8:30am-5:30pm
Tuesday: 8:30am-5:30 pm
Wednesday 7:30am-5:00 pm
Thusrday: 7:30 am - 5:00pm
Friday- once a month
Saturday -once a month ( alternate week from the Friday)
Responsibilities:
Patient Communication & Education
Review treatment recommendations with patients in clear, patient-friendly language.
Explain procedures, benefits, risks, and alternatives as outlined by the dentist.
Provide written estimates and review insurance coverage details.
Answer patient questions and address concerns with empathy and professionalism.
Treatment Planning & Scheduling
Coordinate appointments to align with treatment plans and patient availability.
Ensure proper sequencing of multi-step treatments (e.g., crowns, implants, invisalign).
Collaborate with clinical and hygiene teams to maintain an efficient schedule.
Financial Coordination
Present financial options
Submit pre-determinations and insurance estimates to carriers.
Track outstanding treatment plans and follow up with patients to encourage case acceptance.
Administrative & Compliance
Maintain accurate patient records in dental software (e.g., Tracker).
Ensure compliance with
RCDSO
(Royal College of Dental Surgeons of Ontario),
CDHO
, and
ODA
guidelines.
Protect patient privacy in accordance with
PHIPA
(Personal Health Information Protection Act).
Support front desk team as needed with check-ins, check-outs, and billing.
Experience
Previous experience in dental administration, treatment coordination
Knowledge of dental terminology, treatment procedures, and insurance processes in Ontario.
Proficiency with dental software systems.
Excellent communication and interpersonal skills; ability to build trust with patients.
Strong organizational skills and attention to detail.
Ability to multitask in a fast-paced environment while maintaining accuracy.
Preferred Assets
Level II Dental Assistant background (considered an asset).
Experience with case presentations, Invisalign and Dental Implants
Training in customer service, sales, or patient experience.
Job Type: Full-time
Pay: $30.00-$35.00 per hour
Expected hours: 34 - 37 per week
