Position Requirements:



4 years + experience in DENTAL office management, especially the numbers, their analysis and the action plans required to lead them to successful values Interested in handling mainly

financial

management and

control of administrative operations

, with adequate credentials to support experience. Needs to be able to temporarily take over the general (HR/patient/day to day work flow) management of the practice when the general manager is off or absent Strong financial background: Profit and loss analysis, budget management, identification and correction of variances, tracking of all financial transactions and their accuracy. Proficient in analysis and tactics to grow practice KPIs and success metrics Highly proficient in Quickbooks and reconciliation of accounts Highly proficient in invoice management (payment, validation, negotiation) Highly proficient in MS Office: Excel, Powerpoint, Word, Outlook Experienced with Dentrix a compelling asset Strong experience in management of account receivable Strong experience in management of account payable Strong written and communication skills. French a great asset. Strong knowledge of dental terminology and treatments an asset Experience maintaining patient privacy Customer service and result-driven mindset Willingness to work varied hours to align with business needs

Schedule: Full-time or Part-time



The hours are subjected to change as the practice reaches new levels of success

The position is salaried: the employee is expected to dedicate the necessary time to achieve objectives within their timelines, with the flexibility to adjust their hours once the goals are met.

The present hours:

Mondays - 7:30 am to 5:00 pm Tuesdays - 7:30 am to 4:30 pm (practice opened until 8pm) Wednesdays - 7:30 am to 4:30 pm Thursdays -7:30 am to 8:30 pm (practice opened until 8pm) Fridays - 7:30 am to 4:30 pm
Practice is open alternating Saturdays- 7:30 am to 4:30 pm (eventually to be every Saturday)

Job details and salary:

- Pay: The salary range is from $40,000.00 to $65,000+ annually and based on the candidate's work experience/skill set/credentials and will be discussed during the interview process. The compensation includes group benefits as well as free regular care dentistry.

In addition to the base salary, the selected individual will be eligible for an annual bonus based on objective achievement and/or above and beyond dedication to the practice.

Main Responsibilities:



Administrative and Financial Management

:

Maximizing profitability through efficient operation while still maintaining office vision and mission statement Assist with implementation of office policies and procedures to ensure efficiency and compliance with regulations. Manage office budgets, expenses, and financial transactions to increase revenue and lower expenses. EBITDA tracking, profitability and growth tracking (dental office important metrics of success and KPIs) Provide principal with accurate and detailed daily, weekly, and monthly reports including detailed P&L Organize and document bi-weekly meetings with principal on financial and procedural health of the practice, challenges, tactic in place, timeline and progress tracking. Oversee flawless billing process in compliance with ODA fee guide rules and choice of codes in respect of provided service and insurance companies' expectations

Master

the ODA fee guide and billing regulations. We expect that the candidate had the ODA course on proper billing practice or will be prepared to take it to be aligned with our billing policies.

Master

insurance expectations, regulations, rules and reimbursement process. Manage predeterminations and understand how they can affect audit risks Oversee individual patient billing particularities, exceptions or special requests Manage and oversee payment plans, financial agreements and AR in conjunction with the manager and owner

Record Keeping and Compliance (controller role)

:

Ensure compliance with healthcare regulations, RCDSO expectations and best practice processes. Monitor and update office protocols to reflect changes in regulations or best practices. Ensure consistency, quality, detail and accuracy of all treatment documentation (notes) to support code choices and billing. Ensure all communications are recorded, documented, filed adequately and readily accessible. Ensure all patient's chart notes are consistent with billings, codes and schedule. Ensure the clinic complies with government safety regulation and policy to guarantee staff and patient safety. Organize regular staff update. Organize compliance re-certifications and training as needed (eg. CPR, Whimis, IPAC, etc.)

Inventory and Supplies Management

:

Establish an efficient inventory management system and ordering process that ensures smooth office operations and respect established budget to reduce expenses. Manage relationships with reps, vendors, and negotiate contracts for supplies and services with the office manager Establish tactics to lower practice expenses Maximizing profitability through efficient operation while still maintaining our Mission Statement

Technology Management

:

IT liaison Align technology liaison Cerec rep liaison X-rays/panoramic maintenance Sterilization technology control Overseeing repairs, premise emergencies, point of liaison for trouble shooting on any defective dental equipment or practice needs (eg. Air conditioning, plumbing, etc) Establish and supervise strong maintenance programs for in-office and out of office equipment.

Occasional Responsibilities

c) when a general managerial task is too heavy for one person



d) to plan and host the team meetings



e) to plan and run the employee's reviews (KPIs)



Leadership & Staff Management



Ensure a full schedule Schedule vacations and coverage; manage time-off requests and absences. Enforce practice core values, vision, culture, dress code, punctuality, and professional behavior. Mediate and resolve staff conflicts and disputes professionally. Coordinate productive morning huddle. Manage temporary staffing needs and resource agencies.

Patient Experience & Relations



Ensure a welcoming, professional, and comfortable environment for patients. Oversee the presentation and cleanliness of the practice premises. Ensure flawless patient experience from greeting to post-visit follow-up. Respond promptly and professionally to patient complaints and concerns. Handle emergency calls and redirect appropriately.

Operations & Workflow Oversight



Oversee daily office operations: opening procedures, ensuring operatories and front desk readiness, and daily team huddles. Support clinical workflow: verify patient charts are prepared, ensure lab cases are ordered and tracked, and clinical rooms are organized. Manage front desk workflow: appointment confirmations, treatment plan presentations, and follow-up. Enforce Standard Operating Procedures (SOPs) for all office functions. Prevent audit, respond promptly to any insurance requests.

Compliance & Risk Management



Oversee infection control, sterilization, and safety protocols. Maintain incident reports, safety data sheets, and legal documentation.

Technology & Equipment



Maintain secure backups and coordinate IT support for systems, troubleshooting, and updates.

Direct Support to the Dentist/Owner



Manage the dentist's calendar, meetings, and confidential matters. Provide briefings and support regarding practice operations. Act as a communication bridge between the dentist and staff.
