is seeking a full-time

Office Manager

to take charge of our front office operations in our state-of-the-art dental facility in downtown Oakville. This role is ideal for someone with strong leadership abilities, a proactive attitude, and the skills to thrive in a fast-paced, patient-centered environment. We're looking for someone who ideally lives close to the clinic, ensuring a reasonable commute and fostering a strong connection with our team and the vibrant community we serve.

Key Responsibilities:



Team Leadership:

Lead and mentor a growing administrative and clinical team, ensuring a collaborative and high-performing workplace.

Patient Experience:

Ensure all patient interactions are handled professionally and compassionately, addressing concerns and maintaining an exceptional standard of care.

Scheduling & Coordination:

Oversee appointment scheduling, optimize patient flow, reduce cancellations, and maximize office productivity.

Staff Training & Development:

Train and support staff, promoting professional growth and maintaining efficiency across the team.

Performance Management:

Monitor and analyze KPIs, including patient satisfaction, production, and accounts receivable. Provide actionable insights to leadership.

Compliance & Policy Management:

Update office policies and ensure compliance with industry regulations and standards.

Project Management:

Collaborate with marketing, administrative, and clinical teams to implement new initiatives and drive office growth.

Reception & Front Office Duties:

Step in to assist with front desk responsibilities as needed, including managing calls, scheduling, and financial arrangements.

Office Organization:

Ensure seamless day-to-day operations, including supply management, vendor coordination, and maintaining a well-organized workspace.

Qualifications:



Mandatory:

At least 4-6 years of experience as an administrative lead, treatment coordinator, or similar role, in a Canadian dental office.

Mandatory:

Strong proficiency with ABELDent software. Proven ability to lead and grow a team in a fast-paced environment. Strong organizational, multitasking, and problem-solving skills. Excellent verbal and written communication skills. In-depth understanding of dental insurance processes and patient billing. A results-driven mindset with a focus on continuous improvement.
