JOB PURPOSE


Reporting to the Director of Information Technology, the Data Systems & Integration Specialist plays a key role in supporting and evolving The York School's data infrastructure. This role is responsible for maintaining and improving core academic and operational data systems, while also helping to shape the school's long-term approach to data integration and access.

Working closely with the Data Systems Manager and Data Specialist, this position supports the development of scalable, reliable systems that meet both day-to-day operational needs and future-focused initiatives. The successful candidate will balance responsibilities such as student information system management and ministry reporting with work on cloud-based platforms, system integrations, and process improvements that enhance data availability and quality across the school. Given the dynamic and collaborative nature of our school environment, this role is a hybrid postion requiring to be in the office three days a week. Candidates should be prepared to contribute actively to this in-person, community-focused environment

KEY RESPONSIBILITIESMaintain and support The York School's Blackbaud Student Information System and other academic/operational databases Manage key data processes including timetabling, enrolment, coverage tracking, attendance, and university counselling systems Support government reporting including ONSIS, OUAC, OSSLT and ensure compliance with data retention policies Provide technical support to staff through the Help Desk system and ensure timely, accurate issue resolution Design and implement the school's emerging data architecture, including pipelines and system integrations (e.g. Blackbaud, FileMaker, BigQuery) Collaborate with the IT team to define backend data models, structures, and sources that enable accurate, meaningful reporting Lead efforts to reduce data silos by identifying redundant tools and migrating toward centralized, sustainable systems Build and maintain clean, queryable datasets to serve multiple stakeholders across departments Identify and scope requirements for new data sources, platforms, or automation tools to meet evolving school needs Collaborate with department leads, academic leadership, and the IT team to support special projects Contribute to the school's digital transformation roadmap by identifying opportunities to streamline or reimagine outdated processes Support technical implementation of projects from proof-of-concept to scale, leveraging scripting (e.g. SQL, Python) where needed Work with the Director of IT to ensure compliance with internal privacy policies and provincial data legislation Assess third-party tools and vendors for adherence to data security standards Contribute to the development of internal documentation, governance protocols, and audit-readiness materials Other job duties as assigned

QUALIFICATIONS AND SKILLS

Post-secondary education in a related field and 3-5 years of relevant experience in data systems, architecture, or administration Solid experience with database design, integration, and management (e.g. SQL, FileMaker, Blackbaud, Google Cloud Platform) Familiarity with data warehousing and query optimization (BigQuery experience preferred) Strong working knowledge of APIs and cloud-based systems integration Ability to interpret and write basic scripts in Python or similar languages Demonstrated ability to plan and implement scalable data solutions that meet end-user and strategic needs Experience supporting educational institutions or familiarity with K-12 school data systems considered an asset Displays a high degree of confidentiality and discretion when working with sensitive information Proven ability to work effectively as part of a collaborative, interdisciplinary team, contributing to a positive, inclusive school culture Excellent written, verbal and interpersonal communication skills Strong ability to engage collaboratively with students, parents, and staff, prioritizing a service-oriented approach by ensuring professionalism, respect, and responsiveness in all interactions Strong organizational and time management skills, with the ability to manage competing priorities and meet deadlines in a dynamic and fast-paced environment Proficiency in navigating a technologically rich school environment, with expertise in Google Workspace considered an asset
