The Bread and Butter of the Position:



As the

Data Analysis & Admin Coordinator

at Portofino Bakery, you will play a crucial role in supporting the efficiency of our operations through data-driven decision-making, operational coordination, and administrative excellence. You will help track and analyze key performance indicators (KPIs), maintain customer and inventory records, and ensure seamless communication across departments. Your work will directly contribute to Portofino's ongoing success in delivering high-quality products and services to both our internal teams and customers.

Important note: While the role is opening to provide maternity/parental leave coverage, it is not a temporary position. The Planning & Development department is growing rapidly, and this role will continue as part of the team beyond the leave period, with duties adapting to business needs as we expand.

Reporting to the

Data Analysis & Admin Manager

, you will be responsible for the following:

Report Compilation & Analysis:



Collect, organize, and analyze sales data to create comprehensive and meaningful reports. Track and report on established Key Performance Indicators (KPI's), providing insights on the health and performance of our departments and our business relative to our KPI targets. Respond to requests for ad-hoc reporting to support business development and operational execution. Provide context and insights to support data-driven decisions throughout the company. Be the expert in various external data portals. Identify anomalies, trends, and areas for improvement, offering actionable recommendations based on your analysis.

Inventory Analysis:



Provide administrative support for inventory planning and demand forecasting. Support Data Analysis & Admin manager with monthly inventory valuation and product costing reporting.

Administration:



Ensure administrative aspects of order management are completed in a timely manner including order processing, customer account management, and invoicing. Maintain up-to-date customer information utilizing both internal systems and customer portals. Ensure all records are accurate and easily accessible. Support planning and logistics teams with communications to ensure timely delivery of orders to customers.

Customer Inquiry:



Serve as a point of contact for customer inquiries, addressing any questions regarding orders, product availability, or delivery schedules. Provide exceptional service by responding to inquiries promptly and professionally, ensuring customer satisfaction. Escalate more complex customer issues to the appropriate department, ensuring resolution in a timely manner.

General Office & Admin Tasks:



Perform a variety of office administrative duties, including scheduling meetings, maintaining filing systems, and managing correspondence. Ensure the office environment is organized and well-maintained, contributing to an efficient and productive workspace. Provide ad-hoc administrative support to various departments as needed to maintain smooth business operations.

Education:

Post-secondary education or equivalent experience in commerce, business admin, data analytics or other relevant fields

The Details You'll Loave:



$55,000-$65,000 annually depending on experience Healthy and frequent raises. Annual bonuses based on performance metrics. Medical & Dental benefits including Life Insurance after 3 months.
