Job Summary


We are seeking a detail-oriented and proactive Order Administrator to manage the end-to-end order process and provide excellent support to customers and internal teams. This role ensures that all customer orders are processed accurately, shipments are coordinated effectively, and records are maintained in compliance with company policies. The ideal candidate will have strong organizational skills, excellent communication, and the ability to thrive in a fast-paced environment.

Duties



Communicate promptly and accurately with customers regarding order progress, delivery schedules, and inquiries. Serve as the primary liaison between customers and internal departments, including marketing, logistics, production, and finance. Ensure order pricing and shipments comply with company policies while meeting customer requirements. Process change orders, cancellations, price validations, and return requests efficiently. Verify, record, and maintain customer documents and orders in accordance with corporate policies. Issue official Order Acceptances and Sales Order Acknowledgements. Take ownership for processing each customer order accurately and on time. Arrange and coordinate domestic and cross-border shipping in Canada, the United States, and North America. Support international trade operations, including export documentation, import compliance, customs clearance, and tax declarations. Ensure compliance with international trade regulations, Incoterms, and applicable government. Develop knowledge of production processes to provide precise and informed responses to customer inquiries. Support marketing activities, including campaign execution, promotional materials, trade shows, events, and social media initiatives. Collect and analyze customer feedback to support improvements in marketing strategies and service quality. Perform other duties as assigned by the supervisor.

Requirements



Post-secondary education in business administration, supply chain, or related field preferred. Strong communication and interpersonal skills with a customer-first mindset. Highly organized with excellent attention to detail. Proficiency in Microsoft Office Suite; familiarity with ERP systems is an asset. Ability to multitask, adapt quickly, and work effectively in a fast-paced environment. Fluency in English is required. Proficiency in Chinese is a strong asset.
Job Types: Full-time, Permanent

Pay: $20.00-$23.00 per hour

Expected hours: 37.5 - 40 per week
