Purpose and Scope The Customer Service Representative is the primary communications link between Cancoil and our clients/ reps. Organization Relationship The Customer Service Representative will report to the Director of Sales & Marketing. Working Conditions Normal office environment working conditions apply. May be seated for long periods (3-4 hours). Requires some walking between departments to distribute paperwork. Responsibilities The successful candidate will perform the following in accordance with established Sales Department procedures: 1. Receive and process business communications from clients/ reps a. Telephone, e-mail, fax communications b. Requests for Quotations c. Requests for Product selection and Pricing (with Applications Engineer) d. Purchase Orders e. Requests for order information: i. Orders and order status ii. Shipping iii. General information f. Customer complaints/Service and warranty issues (with applications engineer, QC) g. Other communication as required. 2. Order Processing a. Purchase order review and clarification vs. quotation b. Order planning and scheduling c. Order write up and error checking d. Order entry sequence e. Order verification and communication with client f. Maintenance of order files 3. Customer complaints and Service/Warranty issues a. Review and clarify customer complaint and gather information b. Initiate CCN sequence/update log c. Forward complaint to appropriate parties (applications engineer, QC) d. Initiate RMA sequence (as required) e. Initiate credit request (as required) f. Communicate complaint resolution back to client 4. Account Maintenance a. Initiate credit request sequence (as required) b. Maintain customer master information c. Maintain account contact information d. Maintain account logistics information 5. Logistics Backup ? assists in preparation and distribution of paperwork a. Bills of lading paperwork b. Customs paperwork 6. Parts Order Processing a. Quotes for Parts Orders b. Process payment for US Parts Orders c. Logistics for Parts Orders 7. Production Control Back up for Production Schedule Maintenance 8. Reception back up. Education and Training Education: Minimum Secondary School Graduation Diploma. Skills Office Experience: a. Direct Sales ? business to business b. Telephone customer contact c. Intra office communications d. Inter office communications e. Document transfer/filing/retrieval Computer a. Windows b. Excel/Database c. Word d. Outlook/email e. File/document sharing and navigation within network f. MRP/ERP System Other a. Integrity b. Ability to take direction c. Problem solving/delegation/planning/follow-up d. Language skills/oral/written e. People skills f. Business math/elementary accounting g. Dependability and punctuality Additional Skills: The successful candidate will have 4-5 years experience in an office environment utilizing the above skills.
